Create a Transfer Order

Overview

This section explains how to create a Transfer Order in the Maker App to move inventory using a slip.

Purpose

A Transfer Order allows you to manage and record inventory movements on a slip. Managing inventory on a slip-by-slip basis helps ensure internal control.

It also offers the advantage of centralizing inventory information and allowing you to track movement history.

What is a Transfer Order?

A Transfer Order is an inventory management feature that allows you to move inventory using a slip.

You create a slip by specifying the source Location/Label and the destination Location/Label, then entering the movement quantity for each inventory data item.

Inventory Data Units

Inventory data is comprised of one data unit based on the combination of the following elements:

  • SKU
  • Manufacturing Cost
  • Label
  • Location
  • Inventory Quantity

Each set of source, destination, and movement quantity for inventory data becomes a line item.

You can enter a note for each line item.

Status of Transfer Order

There are two statuses for a Transfer Order:

StatusDescription
OpenInventory movement is incomplete. The quantity is deducted from the source but not yet reflected in the destination Label/Location.
CompleteInventory movement specified in the Transfer Order is finished.

Instructions

Navigate to the Create Transfer Order Screen

  1. Click the Inventories menu.
  2. Click Transfer Order tab.
  3. Click Create Transfer Order.
    You will be redirected to the "Create Transfer Order" page.

How to Fill Out the Form

Enter Basic Information

  1. Code
    The code for the Transfer Order (Slip Code) is inserted automatically.

    If necessary, enter your own internal code.

  2. Issue Date
    Enter the issue date of the Transfer Order. You can select a date from the calendar icon if needed.

  3. Scheduled Arrival Date
    Enter the estimated arrival date at the destination. You can select this from the calendar icon.

  4. Note
    You can enter comments as needed. The content will be included in the PDF.

Enter Labels / Locations

  1. Source Location and Labels
    Select the source location and label.

    • Location: Select the source location from the dropdown menu.
    • Label (Multiple): Check the box for the source label. You can select multiple labels.
  2. Destination Location and Labels
    Select the destination location and label.

    • Location: Select the destination location from the dropdown menu.
    • Label (Multiple): Check the box for the destination label. You can select multiple labels.
  3. Retrieve product inventory data with the above settings.
    After confirming the entries, click Retrieve product inventory data with the above settings.

    A list of inventory data will appear in the items following Set Quantity, allowing you to enter the movement quantity.

    To change the source or destination Location/Label settings, click Modify the above settings., make adjustments, and then retrieve the inventory data again.

Enter Inventory Movement Quantity

Enter the movement quantity for each combination of inventory data and destination label.

A slip will be created with each combination of inventory data and destination label as a line item.

  1. Search Products
    You can search for inventory by product by filtering through each field.

  2. Enter Movement Quantity
    Enter the inventory quantity for the destination label.

    Click the following icons as needed:

    • + Icon: Enters the total quantity available from the Source Inventory Item.
    • Trash Can Icon: Clears the entered quantity and resets it to 0.
  3. Edit Note
    If there is a comment for a specific line item, click Edit Note.

    The Note modal will appear, where you can enter a comment.

    The content of the Note will be included in the PDF.

Create the Transfer Order

After confirming the content, click one of the following buttons:

  • Create as Open: Creates the Transfer Order in the Open status. The inventory movement will complete once you perform the completion operation later.
  • Create as Completed: Creates the Transfer Order in the Completed status. Inventory movement is completed simultaneously with the creation of the slip.

Important Notes

Regarding Slips in Open Status

Ensure that any Transfer Order created as Open is set to completed status later. Inventory movement will not be finished while the status remains Open.

Also, be sure to delete any slips that are no longer needed.
If left as Open, the allocated inventory will not return to the source Label/Location.
