Create an Instant Order Link
Overview
This section explains the procedure for creating an Instant Order Link, which issues a URL that allows viewing and ordering from a specific catalog.
Purpose
Instant Order Links are used when you want to receive orders without inviting Buyers, or when you want to temporarily receive orders under trade terms that differ from the usual ones.
Creating and sharing links leads to a reduction in manual work hours and creates more time.
In addition, by utilizing it for secondary use such as QR codes or as a view-only link for distributing materials, it contributes to information utilization, analysis, and sales.
Feature Description
What is an Instant Order Link?
An Instant Order Link is a URL issuance function that independently sets trade terms such as payment methods, shipping methods, and wholesale rates for a specific catalog.
It can be used by users who do not have a DEXTRE account, and all users who know the URL can view the catalog and add products to the cart.
How the Link Works
An Instant Order Link is associated with one target catalog.
You can independently set items related to catalogs and Buyers for the link.
Settings Related to Catalogs
The following items can be set for the link. The settings configured for the link take precedence over the settings configured for the catalog.
- Address input field
- Payment Method
- Shipping fee settings (Rate Group)
- If all shipping fees set for the link are invalid, the shipping fees set for the catalog will be referenced.
- When setting shipping fees, it is necessary to create master data for the "Shipping Rate Group" in advance.
- Apply tax to price
- This is a setting for whether to display the tax-included price in the product list and cart.
- On the catalog side, the item Select buyer types to display prices excluding tax corresponds as the same setting item.
Settings Related to Buyers
The following items can be set for the link. The settings configured for the link take precedence over the settings configured for the Buyer.
- Language
- Currency
- Billing Terms
- Transaction Terms
Note that the trade terms applied at checkout do not change based on the user's login status.
Access Control and Expiration Date
By setting the following items, you can control the period during which the Instant Order Link can be accessed and whether authentication is required.
- Passcode enable/disable
- Link publication date
- Link expiration date
Behavior at Checkout
Login to DEXTRE occurs for the first time at checkout.
Users with an account can select the Buyer organization they belong to after logging in to place an order.
Users without an account will register a new user account and create a Buyer organization at checkout before ordering.
Even if an order is placed from a Buyer organization that is not in a "Tradeable" state due to reasons such as not being invited, the trade terms set for the Instant Order Link will be applied to the order.
Furthermore, once the order is completed, the Buyer organization is automatically connected to the brand as a "Tradeable Buyer."
View-only Mode
When the "Make this link view-only" flag is enabled, the cart and ordering functions on the Instant Order Link are disabled.
In view-only mode, only the viewing function as a digital catalog is available.
Forced Display of Address Input Field
The address input field on the checkout screen is mandatory in the following cases. Regardless of the settings, the address input field will be displayed.
- When shipping settings are applied
- When Stripe Credit Card Payment is selected
Instructions
Navigating to the Instant Order Link Creation Screen
- Click Links menu.
You will be redirected to the "Link Management" page. - Click the Instant Order Links tab.
*It is opened by default. - Click Create a New Link.
You will be redirected to the "Create an Instant Order Link" screen.
How to Fill Out the Form
Enter Basic Information and Access Control

Make this link a dedicated link for Chinese buyers.
Specify whether to set a link exclusively for China Buyers or not using the toggle button.- Yes: You can set a link accessible from mainland China. It cannot be used for orders from countries other than China.
- No: Do not set as a link exclusively for China Buyers. Set to No for links intended for countries other than China.

Make this link view-only
Specify whether to make the link view-only or not using the toggle button.- Yes: Set to a link with the cart and ordering functions disabled. Only the viewing function as a digital catalog will be available.
- No: Set to a link with the cart and ordering functions enabled.

Link Name
Enter the name of the Instant Order Link.Since it is not displayed to Buyers, you can give it a name for internal management.

Target Buyer Type
Select either "Organization" or "Personal."-
Organization: For business-to-business (B2B) transactions

Personal: For individual orders (B2C)
warningPlease be especially careful about Target Buyer Type setting errors.
The Target Buyer Type on the Buyer organization (Buyer account) side cannot be changed later.

Description
Enter a description for the Instant Order Link.Since it is not displayed to Buyers, you can leave notes for internal management such as the purpose or use of the link.

Catalog
Select one catalog to associate with the link.You can check the publication status for each catalog.

Passcode
Specify whether to set a passcode for access to the link or not using the toggle button.-
Passcode required: Set a passcode. Authentication by passcode is mandatory when accessing the link.
Enter any string for the passcode.

Passcode Unrequired: Do not set a passcode. Passcode authentication is not required to access the link.

Release Date
Specify whether to set the publication date and time for the link or not using the toggle button.- Enable Set the release date.: Set the publication date and time for the link. The link becomes accessible after the specified date.
- Disable Set the release date.: Do not set a publication date and time for the link.
Please set the date and time for the link publication based on the time zone set in your browser.
Example: If the browser is set to Japan Standard Time, enter it in Japan Standard Time.

Expires at
Specify whether to set an expiration date for the link or not using the toggle button.- Enable Set the expiration date.: Set an expiration date for the link. The link remains accessible until the specified date.
- Disable Set the expiration date.: Do not set an expiration date for the link.
Please set the expiration date for the link based on the time zone set in your browser.
Example: If the browser is set to Japan Standard Time, enter it in Japan Standard Time.

Address
Specify whether to display the checkout address input field or not using the toggle button.- Show address input field in checkout.: Displays the address input field at checkout. Address information will be registered in the created order.
- Hide the address input field in checkout.: Does not display the address input field at checkout. Address information will not be registered in the created order.
In the following cases, address input is mandatory, so the address input field will be forcibly displayed regardless of the setting.
- When shipping settings are applied
- When Stripe Credit Card Payment is selected
Note that address information is also required when using Next Engine order integration. Please enable the address input field.
(*Please be careful as the system cannot enforce this.)
Enter Payment Method and Shipping Fee Settings

Payment Method
Select the Buyer's payment method.*If you are using the "Stripe Credit Card Payment Integration Add-on," the option "Stripe Credit Card Payment" will be displayed.
If not using the Stripe Credit Card Payment Integration Add-on
Check Pay outside the app.If using the Stripe Credit Card Payment Integration Add-on
If you want to accept credit card payments, select "Stripe Credit Card Payment."
"Pay outside of the app" refers to making independent payments through payment methods agreed upon between the manufacturer and the Buyer (such as bank transfer or cash on delivery) as usual without using a credit card.You can check details about the Stripe Credit Card Payment Integration Add-on from "Maker Settings > Payment Feature > Stripe Credit Card Payment (Paid Feature)."

Shipping Fee Settings
You can select shipping fee rules as needed.- If you have already created a Shipping Rate Group, you can select the shipping fee rule to apply at the time of order.
- Set for each combination of "Currency" and "Country."

Enter Trade Terms
For some items, you can use settings enabled in the maker's core settings as options.
For details, please refer to Core Preferences.
It explains the settings for the manufacturer environment's language, currency, payment terms, and trade terms.

Language
Select the language to use from the dropdown. This applies to the catalog display language and the transaction language with the Buyer. -
Currency
Select the currency to use from the dropdown. -
Billing Term
Select "Yes" or "No" for Deposit (advance payment).-
With Deposit: Select when charging a deposit, such as for international transactions.
(Example) For Deposit 30% / Balance 70%, enter
30. -
Without Deposit: Select when not charging a deposit.

Transaction Term
Select the trade terms and enter the trade terms rate.- Wholesale rate transaction: Enter the Ratio.
- Other trade terms such as EXW, DDP, FOB: Enter the Percent Off.

Apply tax to price
Specify whether to display the tax-included price in the product list and cart or not using the toggle button.- Enable: Displays the tax-included price.
- Disable: Does not display the tax-included price. However, on screens after checkout, the order amount including the tax amount will be clearly stated.
Note that the price excluding tax is always displayed.

Display Transaction Conditions
Specify whether to display trade terms on the screen or not using the toggle button.- Enable: Displays trade terms on the screen.
- Disable: Does not display trade terms on the screen. It is recommended to set this to Disable mainly for links intended for individuals.
Enter Media and Contact Information

Video
Set a video link or video file as needed.You can embed videos posted on external sites such as YouTube, as well as uploaded video files, into the catalog detail screen.
There are methods to add a video link and to add a video file.

Add Video Link
Enter the embed URL of the video.Example (YouTube):

Add Video File
Select a video file and upload it to DEXTRE.

Background Media Type
Set the image or video to be displayed in the background of the passcode input screen or the expired screen.-
Empty: Do not set.

Image: Select an image. Larger images will be displayed more clearly.

Video: Enter the embed URL of the video.

Selectable Lookbook
Select the lookbooks to display. You can select multiple lookbooks.Only lookbooks with the status Public will be displayed to Buyers.
Lookbooks with the status Draft will not be displayed to Buyers. -
Email
Enter the email address for inquiries. -
Phone Number
Enter the phone number for inquiries. -
Note
Set remarks for the contact point as free text. Line breaks are not taken into account.
Create Instant Order Link
After confirming the input content, click the Create button.
Upon successful creation, the Instant Order Link is created.
How to Share an Instant Order Link
- Click Links menu.
You will be redirected to the "Link Management" page. - Click the Instant Order Links tab.
*It is opened by default. - Click the Copy this link button for the target link to copy the URL.
- Share the obtained URL with Buyers using external communication tools such as email.
Important Notes
Beware of Target Buyer Type Setting Errors
For "Target Buyer Type," you can only specify either "Organization" or "Personal" for each link.
DEXTRE clearly distinguishes between "Organization/Company Buyers" and "Personal Buyers" for data management, and the Buyer Type on the Buyer organization side cannot be switched later.
Please be very careful about setting errors.
Link Publication Date and Expiration Date are Managed Separately from Catalog Publication Date and Order Deadline
The Release Date and Link expiration date set for the Instant Order Link are settings that control whether the link can be accessed.
On the other hand, the Publication Date/Time and Order Deadline set for the catalog associated with the link are settings that control whether the catalog can be viewed or ordered.
Therefore, even if the link is within the valid period and accessible, restrictions such as cannot view or cannot add to cart may occur depending on the publication date/time and order deadline settings of the catalog.
If a "Closed (Private)" Catalog is Linked, the Catalog Will Not Be Displayed
On the link creation screen, you can select and associate catalogs with the status "Closed (Private)."
However, please note that if a Buyer accesses the link while the catalog is in a closed state, the catalog will not be displayed and an error message may appear.
If the Address Input Field is Hidden (Disabled), the Address Will Not Be Registered in the Order
If the "Address input field" at checkout is set to hidden (disabled), the order data will be registered without the Buyer's address.
Therefore, if the address is required for subsequent document generation (such as an Order Confirmation), the manufacturer must manually enter and supplement the address.
The Address Input Field Must Be Enabled When Using "NEXT ENGINE Order Integration"
In environments where "NEXT ENGINE order integration" is used, address information is systematically required for data integration.
If the "Address input field" is disabled, the order upload process will fail, so please be sure to enable it.
