Invite a Member

Overview

This feature allows you to invite members to a maker organization and enable collaboration.

Purpose

The member invitation function aims to invite administrators, staff, and external representatives to the maker organization, and to collaborate by setting roles and permissions for each member.

By setting roles, permissions, and brand access settings at the time of invitation, it helps ensure the organization's information security and internal control (compliance).
Additionally, it makes it easier to standardize the procedures for member invitation and permission settings, which helps in business standardization and prevents dependency on specific individuals.

Feature Description

Member Invitation Overview

A unique email address for the member is required to invite them.

An invitation email is sent to the email address, and the invitation is completed when the member accepts it.

Please note that the member limit for the basic pricing plan is up to 15 members, and purchasing additional member slots is required for 16 or more members.
*Monthly fee of 500 yen (excluding tax) per member slot.

Required Input Items for Invitation

The following information must be entered for an invitation:

  • Email Address: The email address of the user to be invited
  • System Role: Select from Owner or Member
  • System Permission: Select from Admin or Write

System Role Details

The differences between the roles of Owner and Member in the system role are as follows:

  • Owner:
    • Can use all features of DEXTRE.
    • The system permission is automatically fixed to Admin.
    • One owner within the maker will be the representative and have a special role called Primary Owner.
  • Member:
    • Some features of DEXTRE are restricted.
    • Currently, restrictions are placed on contract-related operations.

System Permission Details

This is set when Member is selected for the system role. If you want to perform detailed permission management, you must configure the following settings regarding members in advance:

  • Admin:
    • Can use all features permitted by the System Role.
  • Write:
    • It is possible to control (restrict) the features that can be operated by assigning pre-created Role And Permissions.
    • If no restrictions are set, they have almost the same operation permissions as Member / Admin regarding business execution.
      *Some important operations, such as "Member Invitation", are restricted.
    • If the role and permission are set to "Not Set", the Default Access Control Settings will be applied until a role is assigned.

Permissions Required to Perform Invitations

Users performing invitation operations must have one of the following permissions:

  • Primary Owner
  • Owner
  • Member / Admin

Status of Users Receiving Invitations

  • Existing Account: If they already have a DEXTRE account, they can join simply by accepting the invitation. The account registration process is skipped.
  • New User: If they do not have an account, new account registration (password setting, etc.) is required when accepting the invitation.

Sharing Invitation Links

In addition to sending an invitation email, you can also directly copy the invitation link (URL) and share it via chat tools, etc.

Only when the invitation status is PENDING, the Copy Invitation Link button will be displayed on the invitation list screen and can be retrieved.

It cannot be copied if the invitation is completed (Accepted) or has expired.

Instructions

Member invitations are performed by the inviter and the invitee through the following operations.

Invitations for members can be performed by users with the following permissions:

  • Primary Owner
  • Owner
  • Member / Admin

Navigating to the Member Invitation Screen

  1. Click Maker Settings > Open Maker Settings.
  2. Click Member.
  3. Click the Members tab.
    *This is selected by default.
  4. Click Invite a New Member.
    The "Invite a New Member" modal opens.

Searching for the User to Invite

  1. Enter the email address of the user you want to invite.

  2. Click Search.

    • If a user account already exists: The account name is displayed.
    • If a user account does not exist: Unable to find user account. is displayed.

    In either case, an invitation is possible, but if the user account does not exist, a new account registration will be performed when joining as a member.

How to Fill Out the Form

  1. System Role
    Select Owner or Member from the dropdown.

    • Owner:
      Can use all features of DEXTRE.
      One owner within the maker will be the representative and have a special role called Primary Owner.
    • Member:
      Some features of DEXTRE are restricted.
      Currently, restrictions are placed on contract-related operations.
  2. System Permission
    Select Admin or Write from the dropdown.

    • Admin:
      Can use all features permitted by the System Role.
      If the system role is Owner, the system permission is fixed to Admin.

    • Write:
      A system permission that allows for the setting of Role And Permissions.

      • If no specific restrictions are set, they have almost the same operation permissions as Member / Admin regarding business execution.
      • Some important operations, such as "Member Invitation", are restricted.
      • Details regarding Role And Permissions can be found under "Maker Settings > Member > Access Control > Role And Permissions".
  3. Brand Access Settings
    You can specify pre-created Brand Access Settings.

    • Default allows access to all "Brands" within the maker organization.
    • If the system role is Owner, the brand access setting is fixed to "Default".

    Details regarding brand access settings can be found under "Maker Settings > Member > Access Control > Brand Access Settings".

  4. Role And Permissions
    If the system permission is Write, you can assign pre-created Role And Permissions at the same time as the invitation.

    If "Not Set", the Default Access Control Settings will be applied until Role And Permissions are assigned.

    Details regarding default access control settings can be found under "Maker Settings > Member > Access Control > Default Access Control Settings".

Executing the Invitation

Once all settings are complete, click Create an invitation.

An "Invitation Email" will be sent to the email address.

*The expiration period for the member invitation link is 48 hours from the time the invitation is sent.

Sharing the Invitation Link Directly

You can also check the invitation transmission history and share the invitation link directly using the following steps:

  1. Click Maker Settings > Open Maker Settings.
  2. Click Member.
  3. Click the Invitations tab.
    You can check the invitation transmission history from the Invitations List.
  4. If the status is PENDING, click Copy Invitation Link to copy it.
    If necessary, you can share the copied invitation link via email or chat tools.

2. [Invitee] Accepting the Member Invitation and Joining the Maker Organization

The invited user accepts the member invitation from the invitation email received from DEXTRE.

Navigating to the Acceptance Screen from the Invitation Email

  1. Open the invitation email.
    • Title: Join "Maker Name" on DEXTRE | DEXTRE
  2. Click Join Now as stated in the invitation email.
    *The expiration period for the member invitation link is 48 hours from the time the invitation is sent.
    You will be redirected to the "DEXTRE" web page.

Account Creation or Joining

  1. Click Accept the invitation and create an account.

  2. Enter the following user information.
    *If you already have a user account, the account registration process is skipped.

    • Display Name (Last Name)
    • Display Name (First Name)
    • Country
      • Select from the dropdown.
    • Language
      • Select from the dropdown.
    • Phone Number
    • Password
      • Please enter twice for confirmation.
      • Set a password of at least 8 characters using half-width alphanumeric characters and symbols.
    • Terms of Service
      • Click Read the Terms of Service and review the contents.
      • After reviewing the Terms of Service, check I agree to the Terms of Service.

    The Email Address and Password you set will be your login information when using DEXTRE.

  3. Once all settings are complete, click Create an account and join the maker organization.
    Upon successful acceptance, a user account is created, and you will join the maker organization.

Sign-In

  1. Click Go to Sign-in Page.
    You will be redirected to the login screen for the DEXTRE Merchant App.

  2. Enter your Email Address and Password, and click Sign In.
    If you have forgotten your password, click Forgot your password? Click here to reset it and then try login again.

    Upon successful login, a list of maker organizations you currently belong to will be displayed.

Important Notes

Invitation Link Expiration

The expiration period for the invitation link is 48 hours.

If the period expires, the status will become "Expired", so please perform the re-invitation operation.

Member Limit and Additional Fees

The basic plan allows for up to 15 members to be invited. For 16 or more members, purchasing additional member slots is required.
*Monthly fee of 500 yen (excluding tax) per member slot.

Behavior for Users with Existing Accounts

If the email address being invited already has a DEXTRE account (e.g., use with another company's brand), the new account creation screen will be skipped, and the user will join by login with their existing password.

The new registration screen will not be displayed.

Troubleshooting

I made a mistake in the member's permission settings during invitation

As soon as the invitation is accepted, please edit the permissions of the relevant member from "Maker Settings > Member" and set the correct configuration.

Alternatively, send the invitation again after the invitation link has expired.
