Bulk Import Members (Excel)

Overview

You can manage Maker members via bulk import using an Excel file (.xlsx). In a single import, the following three actions can be performed simultaneously.

  • Inviting new members
  • Updating existing members
  • Deleting existing members

Purpose

Bulk Import Maker Members is used for the following purposes.

  • Initial setup and launch: Invite members all at once to start operations quickly.
  • Operational efficiency: Perform invitations, updates, and deletions simultaneously to reduce labor and human error.
  • Responding to organizational changes: System Role/Permissions, Brand Access Settings, and role assignments can be updated in bulk.
  • Account organization: Bulk delete members who are no longer needed, such as retirees, to reduce security risks.
  • Multi-brand operation: Apply Brand Access Settings in bulk to assign the appropriate brands.

Instructions

Bulk Import Maker Members is performed using the following flow.

  1. Download Bulk Maker Members Importing XLSX File
  2. Edit the Bulk Maker Members Importing XLSX File
  3. Import the Bulk Maker Members Importing XLSX File into DEXTRE

1. Download Bulk Maker Members Importing XLSX File

  1. Click the Maker Settings > Open Maker Settings button in the top header menu on the upper left of the screen. You will be navigated to the Maker Settings page.

  2. Click the Member button in the side navigation. The Members menu main screen will open.

  3. Click the Members tab. *It is open by default.

  4. Click the Bulk Import Maker Members button.

  5. Select the File Language from the dropdown. You can specify either Japanese or English, and the language inside the XLSX file will switch.

  6. Click the Download Maker Members Import File button. The Bulk Maker Members Importing XLSX file will be downloaded.

2. Edit the Bulk Maker Members Importing XLSX File

Open the Bulk Maker Members Importing XLSX file downloaded in 1. Download Bulk Maker Members Importing XLSX File in the previous section.

Please refer to the following to enter information for new invitations, updates, and deletions.

Input columns for new invitations:

  • Column B: Email
  • Column C: System Role Type
  • Column D: System Permission Type
  • Column E: Brand Access Policy Code
  • Column F: Role Code

Input columns for updates:

  • Column B: Email (Email address of existing member)
  • Column C: System Role Type
  • Column D: System Permission Type
  • Column E: Brand Access Policy Code
  • Column F: Role Code

Input column for deletions:

  • Column G: Delete

Explanation of each item

  • Column A: User Name (For display) The user name of existing members is displayed. This is for display only; new input will be ignored.
  • Column B: Email (Required) Enter the member's Email Address. It is also used as the key identifier for the bulk import process. Entering an email address that does not exist for an existing member will be treated as a new invitation. *However, if a valid invitation already exists, it will be skipped.
  • Column C: System Role Type (Required) Enter the role type that indicates the fundamental position within the organization. The following three types are defined by input rules; please select one.
    • primary_owner: This is the owner representing the organization. Only one member among all members can be the Primary Owner. The primary_owner and owner can be swapped at any time, but there must always be one primary_owner.
    • owner: Can use all features of DEXTRE. In particular, they can perform operations related to contracts, such as changing plans and using add-ons.
    • member: Some DEXTRE functions are restricted. Currently, restrictions are placed on contract-related operations.
  • Column D: System Permission Type (Required) Enter whether the member is an administrator or not. The following two types are defined by input rules; please select one.
    • admin: Refers to an Admin. Can perform all operations for functions permitted by the System Role Type. If the System Role Type is primary_owner or owner, please specify admin.
    • write: Refers to a non-administrator member. This can be specified for members whose System Role Type is member. Only members with write permission can have a Role Code specified in Column F.
  • Column E: Brand Access Policy Code (Optional) Enter the Policy Code of the Brand Access Settings (*1) created in the master settings beforehand. Based on the Brand Access Settings, you can specify the brands that the target member can access. If allowing access to all brands, leave this blank.
  • Column F: Role Code (Optional) Enter the Code of the Role and Permissions (*2) created in the master settings beforehand. This can only be specified for members whose System Role Type is member and System Permission Type is write. You can grant a role to the target member, giving them access permissions based on the granted role.
  • Column G: Delete (Optional) If true is entered, the target existing member will be deleted. This is ignored for new invitations. The input rules are as follows.
    • true: Deletes the target member.
    • false: Do nothing (member is not deleted).
    • Blank: Do nothing (member is not deleted).

*1: This setting defines the list of brands to allow access to. It can be created from the Maker Settings > Members > Access Control > Brand Access Settings screen. By applying Brand Access Settings to a member, you can control which brands that member can access.

*2: This is a feature to create roles that define access permissions according to the member's role. It can be created from the Maker Settings > Members > Access Control > Role and Permissions screen. By granting a role to a member, that member is permitted to access DEXTRE features and data within the scope defined by the role.

3. Import the Bulk Maker Members Importing XLSX File into DEXTRE

Once you have finished editing the Bulk Maker Members Importing XLSX file, import it into the DEXTRE Maker App.

  1. Click the Maker Settings > Open Maker Settings button in the top header menu on the upper left of the screen. You will be navigated to the Maker Settings page.

  2. Click the Member button in the side navigation. The Members menu main screen will open.

  3. Click the Members tab. *It is open by default.

  4. Click the Bulk Import Maker Members button.

  5. Select a XLSX File Select the edited Bulk Maker Members Importing XLSX file.

  6. Click the Import button. If the process is successful, the data will be updated according to the contents of the Bulk Maker Members Importing XLSX file. If the process fails, an error will be displayed. Please correct the Bulk Maker Members Importing XLSX file according to the error message.

Important Notes

Regarding updates to member usernames and email addresses

Member usernames and email addresses cannot be updated via bulk import. Members must update their own profiles.

Troubleshooting

Regarding inputs that cause errors

The following inputs will result in an error during import.

*3: The Members Quota is 15 members under the Base Subscription. Separately, you can increase the number of members you can invite with an Add-on Subscription contract.

  • Additional Members Quota Add-on: 500 JPY per additional member.
