Create an Inventory Order Policy

Explains how to create an Inventory Order Policy that defines rules for inventory allocation, transitions, and sales rules during order placement.

Purpose

Defining an inventory order policy in advance helps unify how inventory is handled during order placement, assisting in standardizing operations and preventing dependency on specific individuals.

What is an Inventory Order Policy?

An inventory order policy is master data that defines rules for inventory allocation, transitions, and sales rules during order placement.

The created inventory order policy is used to specify and display the sales method in catalog item options and order details.

Inventory Order Policy Type

Specify the sales method by choosing one of the following Inventory Order Policy Type:

  • Make To Order: A sales method where inventory registration is performed directly without allocating inventory at the time of order (products are manufactured for the buyer based on the quantity ordered).
  • Inventory Order: A sales method where allocation (subtraction) is performed from the registered inventory.

Items to set for Make To Order

For the Make To Order policy type, configure the following:

  • Target Make to Order Inventory Label: The label that serves as the inventory destination when the order confirmation is confirmed.
  • Target Make to Order Inventory Location: The location that serves as the inventory destination when the order confirmation is confirmed.

Items to set for Inventory Order

For the Inventory Order policy type, configure the following:

  • Source Inventory Order Label: The label from which inventory is deducted at the time of order. Only actual inventory or future inventory labels can be specified.
  • Target Inventory Order Label: The label that serves as the inventory destination when the order confirmation is confirmed.
  • Selectable Inventory Locations: The locations from which inventory is allocated.
  • Allow Backorder: Enabling this allows for backorders. If enabled, you set a specific transition label and location for backorders.
  • Display In Stock Settings: Settings for how the stock quantity is displayed on the Buyer App. You can specify whether to show the exact remaining stock or just In Stock / Out of Stock.

Backorder refers to a system where products that are out of stock can still be ordered, and the order is shipped as soon as the inventory arrives.

In an order policy where backorders are enabled, buyers can freely enter quantities and place orders even if the inventory is 0.

Handling the Default Order Policy

By enabling the default setting, you can set an inventory order policy as the system default.

If another inventory order policy is already specified as the default, the newly enabled order policy will become the default, and the existing default setting will be automatically disabled.

Instructions

Navigate to the Inventory Order Policy creation screen

  1. Click Maker Settings > Inventory Resource.
  2. Click the Order Policies tab.
  3. Click Create a New Inventory Order Policy.
    The "Create an Inventory Order Policy" modal will open.

How to fill out the form

Creating a Make To Order policy

  1. Policy Code
    Enter the code that identifies the order policy.
    Full-width characters can also be entered.

  2. Display Name
    Enter the name to be displayed in catalog item options or order details.

  3. Inventory Order Policy Type
    Select Make To Order from the dropdown.

  4. Target Make to Order Inventory Label
    Select the Inventory Label that serves as the destination from the dropdown.

    Inventory will move to the specified label when the order confirmation is confirmed.

  5. Target Make to Order Inventory Location
    Select the Inventory Location that serves as the destination from the dropdown.

    Inventory will move to the specified location when the order confirmation is confirmed.

  6. Is Default
    Use the toggle button to specify whether to set this inventory order policy as the default.

    • Yes: Sets the inventory order policy as the default.
    • No: Does not set the inventory order policy as the default.

Creating an Inventory Order policy

  1. Policy Code
    Enter the code that identifies the order policy.
    Full-width characters can also be entered.

  2. Display Name
    Enter the name to be displayed in catalog item options or order details.

  3. Inventory Order Policy Type
    Select Inventory Order from the dropdown.

  4. Source Inventory Order Label
    Select the inventory label from which the stock quantity will be allocated during order placement.

    Only inventory labels set as Future Inventory or Actual Inventory can be specified.

  5. Target Inventory Order Label
    Select the Inventory Label that serves as the destination from the dropdown.

    Inventory will move to the specified label when the order confirmation is confirmed.

  6. Selectable Inventory Locations
    Within the inventory label selected in Source Inventory Order Label, select which location's stock to allocate from.

    Multiple locations can be set, but since inventory allocation becomes random, it is recommended to select only one.

    tip

    Example: When the same "Inventory Label: Free Stock" is in the following state

    • Location - Store: 10 items
    • Location - Warehouse: 10 items

    Free Stock totals 20 items, but locations differ by 10 items each.

    In this case, by setting only "Warehouse," you can configure it so that orders are only taken from the 10 items in the "Warehouse."

  7. Allow Backorder
    Use the toggle button to specify whether to allow backorders.

    • Yes: Allows backorders.
    • No: Does not allow backorders.

    When backorders are allowed, you can accept orders even if the inventory set in Source Inventory Order Label reaches 0.

    If enabling this, select a Target Backorder Label and Target Backorder Location for managing backorder inventory.

  8. Display In Stock Settings
    Select the display setting for the stock quantity shown to buyers from the dropdown.

    • Left In Stock: Displays the remaining quantity of inventory.
    • In Stock: Displays only as In Stock / Out of Stock.
  9. Is Default
    Use the toggle button to specify whether to set this inventory order policy as the default.

    • Yes: Sets the inventory order policy as the default.
    • No: Does not set the inventory order policy as the default.

Create the Inventory Order Policy

After confirming the entered details, click the Create button.

If the process is successful, a new inventory order policy will be created.

Important Notes

Duplicate Policy Code

You cannot register a code that is the same as an already registered policy code.

Specifying Selectable Locations

When setting Selectable Inventory Locations in an inventory order policy, multiple locations can be configured, but it is recommended to specify only one.

If multiple are specified, inventory allocation will be performed randomly.

Preparation

Before creating an inventory order policy, the masters for Inventory Labels and Inventory Locations must be created.
