Create an Excel Order Sheet (Excel)

Overview

Excel Order Sheet is a feature to generate and download an Excel file (.xlsx) for input, used to import order data into DEXTRE.

Purpose

Excel Order Sheet is used to proceed with order acceptance in the same format, whether the maker downloads and uses the file or shares a download link with the buyer for them to fill out.

Since a file for a single order can be created with the Language, Currency, and Trade Terms specified, it standardizes the communication of order conditions and input methods, reducing variations between personnel.

Additionally, by using a file with limited input areas, it leads to a reduction in input errors and accidental operations.

Feature Description

What is an Excel Order Sheet?

Excel Order Sheet is one of the methods to register orders without using the DEXTRE eCommerce feature.

The generated Excel Order Sheet allows for the entry of a single order.

You can operate by having the buyer enter the file themselves or by having the brand side enter it, similar to a proxy order.

Items Specified During Export

When generating the Excel file, the following items must be specified for export.

  • Catalog: The catalog targeted for the order
  • Language: The display language for product names, etc.
  • Currency: The currency of the transaction
  • Transaction Terms: Transaction terms such as Wholesale, EXW, DDP, FOB, etc.

The options for Language, Currency, and Trade Terms depend on those enabled in the Core Preferences.

Excel Export Options

The following options can be specified when exporting the Excel file.

  • Reverse SKU Display Name: Only for 2-tier SKUs, the order of the SKU composition can be reversed (from SKU1/SKU2 to SKU2/SKU1) for export. Reversal settings cannot be applied to SKUs with 3 or more tiers.
  • SKU Display Order: You can choose whether to follow the display order of the SKU Master or the sequence of the SKU Property Values.
  • Product Image Display: You can specify whether to insert product images into the Excel or not to display them.

Status After Creation and Download

Immediately after data creation, it enters a processing status and transitions to a downloadable state after the system completes processing.

Method of Sharing with Buyers

In addition to the maker downloading and using the Excel Order Sheet, you can also issue a link to share the URL with the buyer so they can download the file themselves.

About Archiving

The list of created data can be archived (hidden), but once archived, it cannot be displayed again.

Instructions

Moving to the Excel Order Sheet Creation Screen

  1. Click the Excel Order menu.
  2. Click Create Excel Order Sheet.
    You will transition to the "Create Excel Order Sheet" page.

How to Fill Out the Form

Input Items - Basic Settings

  1. Catalog
    Select the catalog targeted for the order from the pulldown.

  2. Language
    Select the language to be displayed in the Excel Order Sheet from the pulldown.

  3. Currency
    Select the transaction currency from the pulldown.

  4. Transaction Term
    Select transaction terms such as EXW, DDP, FOB, etc., from the pulldown.

  5. Description
    Enter a description of the Excel Order Sheet that can be registered as an internal memo.

    This will not be included in the file.

Input Items - Excel Export Settings

  1. SKU Display Name
    For 2-tier SKUs, use the checkbox to specify whether to reverse the order of the SKU composition and display the name, or not.

    • Enable Reverse Two-Level SKU Composition Name order: You can reverse the display order of the SKU display name composed of 2 tiers from "SKU1 / SKU2" to "SKU2 / SKU1."

      Reversal settings cannot be applied to SKUs with 3 or more tiers.

    • Disable Reverse Two-Level SKU Composition Name order: Displays the SKU display name composed of 2 tiers as "SKU1 / SKU2."

    For example, an SKU displayed as "Color / Size" for an apparel product can be exported to the Excel Order Sheet in the order of "Size / Color."

  2. SKU Display Order
    Regarding the display order of the SKU rows exported to the Excel Order Sheet, you can select from the following two options in the pulldown.

    • Follow SKU Master Display Order: Rows are exported in the same sequence as the display order set in the SKU Master within the product data.
    • Sort SKUs by SKU Property Variant Order: Rows are exported in the same sequence as specified in the SKU property value sequence settings.
  3. Product Image
    Specify in the pulldown whether to insert product images into the Excel Order Sheet or not.

    • Visible: Inserts product images into the Excel Order Sheet.
    • Hidden: Does not insert product images into the Excel Order Sheet.

Create Excel Order Sheet

After confirming the input details, click the Create button.

The Excel Order Sheet is created, and the created data is displayed within the Excel Order Sheet List.

The status until the file is generated will be Waiting for processing.

As soon as the file is generated, the status becomes Downloadable.

How to Share the Excel Order Sheet

There are two methods for sharing with the buyer.

Download and Share the File

  1. If the status of the target data in the Excel Order Sheet List is Waiting for processing, click the Update button.

    For Excel Order Sheets that are already Downloadable, clicking the Update button is not required.

  2. Click the Download button.

    Upon successful processing, the specified Excel Order Sheet will be downloaded.

  3. Share the downloaded Excel Order Sheet with the buyer using an external communication tool such as email.

Share the Download Link

  1. Click Copy this download link for the target data in the Excel Order Sheet List.
    The URL from which the Excel Order Sheet can be downloaded will be copied.

  2. Share the copied URL with the buyer using an external communication tool such as email.

Important Notes

Do Not Edit the Downloaded Excel File Except for Specified Areas

The import file contains important information for the system to identify the data.

Areas where you can enter data:

Only the Quantity in column F (green cells). Please enter the order quantity for each SKU.

Areas where editing is prohibited:

Do not change any cells other than Quantity, such as product names, amounts, and basic information.

Editing or deleting cells other than Quantity will make it impossible for the system to import normally and cause errors.
