Bulk Import Orders (Excel)

Overview

This feature allows you to create order data from multiple customer buyers at once through the download and import of an Excel file for import (.xlsx).

Purpose

By collectively registering orders received without using DEXTRE's EC functions, such as via phone or email, and centralizing order management, you can reduce the effort of individual registration and save man-hours.

Since orders for multiple different trading buyers can be created together in a single import operation, it helps in streamlining order fulfillment tasks and creating time.

Feature Description

Mechanism of Bulk Import

Bulk processing is achieved by linking using the unique code of the buyer or catalog registered in advance as a key.

Line data with the same Order Code entered in the Excel file will be identified and aggregated as 1 order during system import.

Lines with different Order Codes will be created as separate orders respectively.

Preparation

In order to use the Order Bulk Import feature, it is necessary to register the Code of the target catalog in advance.

For the procedure to register a catalog code, please refer to Edit a Catalog.

Required Fields

The following items are required in the Excel file.

  • Order Code
  • Buyer Unique Code
  • Catalog Code
  • Model Number
  • SKU Number
  • Quantity

Temporary Change of Currency and Transaction Term

By entering values in the Excel, you can temporarily change and override the usual Currency and Transaction Term set for the buyer only during this bulk import.

For Currency and Transaction Term, those enabled in Core Preferences can be used.

If a Transaction Term different from the settings in the buyer master is specified, the discount rate will be fixed at 0% and the wholesale rate at 100%.

Input and Calculation Methods for Prices

The input and calculation methods for Original Price and Selling Price are as follows.

  • Original Price: Manual direct input is available. If left blank, it refers to the price in the product master or the product override data within the catalog.

    It is not referenced in the automatic calculation of the Selling Price.

  • Selling Price: Manual direct input is available. If left blank, it is automatically calculated based on the Currency and Transaction Term input, and the product master or product override data within the catalog.

    • Currency:
      • If entered, the input value is referenced to calculate the Selling Price.
      • If left blank, the buyer master settings are referenced to calculate the Selling Price.
    • Transaction Term:
      • If the same Transaction Term as the buyer master setting is entered, the buyer master setting or the Transaction Term rate override setting is referenced to calculate the Selling Price.
      • If a Transaction Term different from the buyer master setting is entered, the discount rate is fixed at 0% and the wholesale rate at 100%. Unless you want to create an order with a Selling Price of 0% discount or 100% wholesale rate, entering the Selling Price is required.

Instructions

Order Bulk Import is performed in the following flow.

  1. Download the XLSX template file for import
  2. Fill in the XLSX template file for import
  3. Import the XLSX file for import into DEXTRE

1. Download the XLSX template file for import

  1. Select Transactions menu > Order Management.
  2. Click Bulk Import Orders.
    The "Bulk Import Orders" modal opens.
  3. Click Download XLSX File.
    The "XLSX template file for import" will be downloaded.

2. Fill in the XLSX template file for import

Open the downloaded "XLSX template file for import" and enter the data.
*Please do not delete "Cell A1".

Input Items of the XLSX Template File for Import

Please fill in each input item referring to the following.

Since price input involves complex calculations, please check Input and Calculation Methods for Prices in the Feature Description in advance.

Do not rewrite the column names.
Rewriting column names will cause import errors.

  • Order Code (Required)
    Enter any code.

    During import, the same code is identified as 1 order.

  • Buyer Unique Code (Required)
    Enter the unique code of the buyer for whom the order is to be created.

  • Catalog Code (Required)
    Enter the unique code of the catalog where the products for the order are registered.

  • Model Number (Required)
    Enter the model number of the product for which the order is to be created.

  • SKU Number (Required)
    Enter the SKU number of the product for which the order is to be created.

    Example (Apparel products): ModelNumber_Color_Size

  • Quantity (Required)
    Enter the quantity ordered in SKU units.

  • Currency
    Enter the currency if you want to temporarily change the buyer's transaction currency.

    Leave it blank if there are no particular changes.

    A drop-down list based on Excel input rules is provided. Please utilize it as an input aid.

  • Transaction Term
    Enter the terms of trade if you want to temporarily change the buyer's terms of trade.

    Leave it blank if there are no particular changes.

    If a Transaction Term different from the buyer master setting is entered, the discount rate is fixed at 0% and the wholesale rate at 100%.
    Therefore, unless you want to create an order with a Selling Price of 0% discount or 100% wholesale rate, entering the Selling Price is required.

    A drop-down list based on Excel input rules is provided. Please utilize it as an input aid.

  • Original Price
    Enter if you want to register the original price manually.

    Leave it blank if there are no particular changes.

  • Selling Price
    Enter if you want to register the selling price manually.

    Leave it blank if there are no particular changes.

  • Order Date
    Enter the date the order was received in yyyy-MM-dd format.

    Example: 2026-01-01

    If not specified, the order will be created with the file import date and time.

Once data entry is complete, please save and close the XLSX file.

3. Import the XLSX file for import into DEXTRE

  1. Select Transactions menu > Order Management.
    The page transitions to "Order Management."

  2. Click Bulk Import Orders.
    The "Bulk Import Orders" modal opens.

  3. Click Select File.

  4. Select the "XLSX template file for import" you created.

  5. Click the Import button.

    If the process is successful, orders will be created in bulk.

Important Notes

Prohibition of Editing/Deleting Cell A1

Cell A1 of the import file is used by the system to read data.

If edited or deleted, data cannot be imported normally.

Be Careful of Entry Errors in Order Code

Line data with the same Order Code entered in the Excel will be processed together as 1 order during import.

Do not enter the same code for orders from different buyers or data that you want to separate as different orders.

On the other hand, if you enter a different Order Code for every line, data that should originally be grouped together will also be created as separate orders, and there is a possibility that a large number of orders will be created unintentionally.

Original Price Does Not Affect Selling Price

The original price is not used for the automatic calculation of the selling price.

Example: When Transaction Term is Wholesale Rate (60%) and Currency is Japanese Yen

For a product with a list price of "27,000 yen", if you enter "30,000 yen" in the original price, the order will be created as a product with a list price of "30,000 yen".

However, the order for the selling price will be created at 16,200 yen, which is 60% of 27,000 yen.
It will not be registered at 18,000 yen, which is 60% of 30,000 yen.

If a change to the selling price is also necessary, please also enter the Selling Price.

Changing Transaction Term Fixes Discount Rate/Wholesale Rate

If a Transaction Term different from the settings in the buyer master is specified, the discount rate will be fixed at 0% and the wholesale rate at 100%.
