Import Partner Inventory Sales Report (Excel)

Overview

This feature allows for the bulk registration of consignment sales by downloading and importing an import Excel file (.xlsx).

Purpose

The Import Partner Inventory Sales Report is used when you want to bulk register sales reports for multiple SKUs using an Excel file.

Instead of entering items one by one on the screen, you can register them collectively using the import template, which reduces the workload involved in sales reporting.

Feature Description

What is Import Partner Inventory Sales Report?

This is a feature within DEXTRE's Partner Inventory functionality that allows for the bulk registration of consignment sales by importing an Excel file (.xlsx).

By downloading the Download XLSX Template, entering the data, and then uploading it, you can bulk register consignment sales.

Input Mode

Two input modes are available.

  • On-hand based: A mode where you input the inventory quantity on the buyer's side, and the difference from the Theoretical Quantity (the quantity of partner inventory currently dispatched) is recorded as sales.
  • Sold based: A mode where the sold quantity is recorded directly as sales.

Import Action

Two import actions are available.

  • Create Order: Similar to a proxy order, this creates an order from the catalog dedicated to consignment sales reports.
  • Create Delivery Note: Creates a delivery note using Partner Inventory as the data source.

The specified Import Action determines whether an Order or a Delivery Note is created.

Import Unit

Imports can be performed for a single individual buyer.

Instructions

The Import Partner Inventory Sales Report is performed following these steps.

  1. Download the import XLSX template file
  2. Enter data into the import XLSX template file
  3. Import the import XLSX template file

Navigating to the import file download screen

  1. Click the Inventories menu.
  2. Click the Partner Inventory tab.
  3. Click the Overview tab.
    *It is open by default.
  4. Click Import Partner Inventory Sales Report.
    The "Partner Inventory Sales Report" modal opens.

Selecting the target buyer

  1. Click Select Buyer.
    The page switches to the "Select Buyer" page.
  2. Search Buyers
    You can search for the target buyer by filtering through various items.
  3. Click the Select button for the desired buyer to select the target buyer.
    The page switches back to the "Partner Inventory Sales Report" page.

Form entry and download

Fill out the form in the Download XLSX Template block.

  1. Select the Template Type from the dropdown.

    • On-hand based: A mode where you input the inventory quantity on the buyer's side, and the difference from the Theoretical Quantity (the quantity of partner inventory currently dispatched) is recorded as sales.
    • Sold based: A mode where the sold quantity is recorded directly as sales.
  2. Click Download XLSX File.

    The import XLSX template corresponding to the template type will be downloaded.

2. Enter data into the import XLSX template file

Input the consignment sales report referring to the following.

The content of the import XLSX template file is created based on the Partner Inventory at the time of download.

Description of input items

  • Model Number(Required)
    Enter the model number targeted for the consignment sales report.

  • SKU No.(Required)
    Enter the SKU number targeted for the consignment sales report.

  • On-hand Quantity or Sold Quantity(Required)
    Enter data into one of these items depending on the input mode.

    • For On-hand based: Enter the inventory quantity on the buyer's side in On-hand Quantity.
    • For Sold based: Enter the sales quantity in Sold Quantity.

The following are display-only items.

  • Product Name
  • Barcode
  • SKU
  • Theoretical Quantity (the quantity of partner inventory currently dispatched)

3. Import the import XLSX template file

Navigating to the import file upload screen

  1. Click the Inventories menu.
  2. Click the Partner Inventory tab.
  3. Click the Overview tab.
    *It is open by default.
  4. Click Import Partner Inventory Sales Report.
    The "Partner Inventory Sales Report" modal opens.

Selecting the target buyer

  1. Click Select Buyer.
    The page switches to the "Select Buyer" page.
  2. Search Buyers
    You can search for the target buyer by filtering through various items.
  3. Click the Select button for the desired buyer to select the target buyer.
    The page switches back to the "Partner Inventory Sales Report" page.

Form entry and import

Fill out the form in the Import XLSX block.

  1. Select the Input Mode from the dropdown.

    • On-hand based: A mode where you input the inventory quantity on the buyer's side, and the difference from the Theoretical Quantity (the quantity of partner inventory currently dispatched) is recorded as sales.
    • Sold based: A mode where the sold quantity is recorded directly as sales.

    Ensure that there are no errors in the content of the uploaded Excel file and the selected input mode.

    • On-hand based: The column corresponding to the input mode in the uploaded file is On-hand Quantity
    • Sold based: The column corresponding to the input mode in the uploaded file is Sold Quantity
  2. Select the Import Action from the dropdown.

    • Create Order: Creates an order from the catalog dedicated to consignment sales reports.
    • Create Delivery Note: Creates a delivery note using Partner Inventory as the data source.
  3. Click Select File and select the file to upload.
    You can also select a file by dragging and dropping it.

  4. Click the Import button.

    Upon successful processing, an Order or Delivery Note will be created depending on the specified import action.

    If it fails, an error will be displayed. Please correct the file according to the error details.

Important Notes

Beware of incorrect selection of Template Type/Input Mode

The meaning of the numerical values entered is completely different between On-hand based and Sold based.
Always select the same mode during both download and import.

Selecting the wrong mode will cause unintended sales numbers to be recorded.

Beware of incorrect selection of Import Action

The specified Import Action determines whether an Order or a Delivery Note is created.

Since the confirmation screens for the created data are also different, be careful not to misunderstand and think "the import was successful, but no data was created."

Regarding the save state of the import Excel file

To prevent import errors or unintended aggregations, always save the file with all rows and columns displayed.

Since data will be added and reflected in the Sales Report even if rows are hidden, please clear all hidden rows, columns, and filter settings.

Regarding the use of functions and formulas

If you are using calculation formulas (functions) in the quantity input fields, always convert them to values before saving.

If uploaded as calculation formulas, the numerical values cannot be imported correctly.
