Bulk Import of Inventory Adjustments (Excel)

Overview​

This feature allows you to bulk create multiple inventory adjustments using an Excel file (.xlsx) in Inventory Management (v2).

Purpose​

Use this feature to register multiple inventory adjustments from an Excel file, reducing the effort of entering each adjustment individually on the screen.

Entering adjustment details in the template also helps prevent omitted entries and operational errors.

Feature Description​

What is an Inventory Adjustment?​

An inventory adjustment lets you increase or decrease the inventory quantity for each SKU and record the adjustment details.

You can increase inventory for SKUs with no current inventory as well as for SKUs that already have inventory.

Bulk Import of Inventory Adjustments​

You can create multiple inventory adjustments by entering the adjustment details into the XLSX template and importing the Excel file.

The inventory disposition for inventory created through this import is Sellable.

You can import adjustments as drafts or confirm them immediately after import.

  • When importing as a draft: Creates an unconfirmed inventory adjustment. Current inventory and cost do not change.
  • When confirming immediately after import: Creates and confirms the inventory adjustment. The changes are reflected in current inventory and cost.

Fields to Enter in the Bulk Import XLSX File​

Enter the following fields in the bulk import XLSX file.

  • Required: Adjustment Number, Slip Date, Adjustment Reason, Product Number, SKU Number, Facility Code, Location Code, Adjustment Action, and Quantity
  • Optional: Inventory Segment, Lot Code, Expiry Date, Manufactured Date, Shelf Life Start Date, Expiry Kind, Supplier Lot, and Increase Base Unit Cost

If you enter any of Expiry Date, Manufactured Date, Shelf Life Start Date, Expiry Kind, or Supplier Lot, you must also enter a Lot Code.

In adjustments that increase inventory, you must enter an Increase Base Unit Cost when cost evaluation is enabled.

How Adjustment Actions Work​

You can use Increase to add inventory, Decrease to reduce it, or Set quantity to specify the inventory quantity after adjustment.

Increase
Adds the entered quantity to the current inventory.

When cost evaluation is enabled, you must enter an Increase Base Unit Cost.

Decrease
Subtracts the entered quantity from the current inventory.

  • If some inventory is allocated, you can reduce only the quantity remaining after the allocated quantity is deducted from the current inventory.
  • If the inventory after reduction becomes negative, it cannot be imported.

If the following conditions apply, you cannot confirm the inventory adjustment immediately after importing.

  • Entering a quantity that reduces allocated inventory
  • Cost evaluation is enabled and the cost information required for the reduction is missing

If you entered a quantity that reduces allocated inventory or if the cost information required for the reduction is missing, you can import it as a draft, but you cannot confirm it until the cause is resolved.

Set quantity
Sets the inventory quantity to the entered quantity.

When inventory increases as a result of Set quantity, you must enter an Increase Base Unit Cost if cost evaluation is enabled.

If the entered quantity is the same as the current inventory, no increase or decrease occurs, so the import fails.

tip

For Set quantity, the difference between the current inventory and the entered quantity is recorded as an increase or decrease adjustment detail.

For example, if you enter "25" when the current inventory is "30", an adjustment detail for a decrease of "5" will be created.

If there is no current inventory matching the specified inventory conditions, Set quantity is treated as an increase.

Conditions for Specifying the Inventory to Adjust​

In inventory adjustments, specify the inventory to adjust using a combination of SKU Number, Facility Code, Location Code, Inventory Segment, and Lot Code. If the Inventory Segment is left blank, it specifies inventory with no segment.

When adjusting inventory that has an inventory segment set, enter the target inventory segment code.

For Increase, enter the codes for the facility and location where the inventory will be stored. Enter the Inventory Segment and Lot Code as needed.

For Decrease, enter the Facility Code, Location Code, Inventory Segment, and Lot Code set for the current inventory being decreased.

For Set quantity, if current inventory matches the specified conditions, its quantity is overwritten. If there is no matching current inventory, it is treated as an increase, and the entered Facility Code and Location Code become the storage location.

Instructions​

To bulk import inventory adjustments, complete the following steps.

  1. Download the Bulk Import XLSX File
  2. Enter Data in the Bulk Import XLSX File
  3. Import the Completed XLSX File

Download the Bulk Import XLSX File​

  1. Click the Inventory menu.
  2. Click the Stock tab.
  3. Click Adjustments.
  4. Click the Import XLSX button.
    The Import Inventory Adjustments From XLSX modal opens.
  5. Click the Download XLSX template button.
    The XLSX template downloads.

Enter Data in the Bulk Import XLSX File​

  • Adjustment Number *Required
    Enter a reference number of your choice.

    You cannot use an Adjustment Number that is already used in the same brand. Enter an unused Adjustment Number.

    Rows with the same Adjustment Number are imported together as a single inventory adjustment.

  • Slip Date *Required
    Enter a date in YYYY-MM-DD or YYYY/MM/DD format.

    Example: 2026-09-15 or 2026/09/15

    You cannot specify multiple dates within the same Adjustment Number.

  • Adjustment Reason *Required
    Select one of the following from the drop-down list. For rows with the same Adjustment Number, select the same reason.

    • Count difference
    • Damage
    • Expiry
    • Quality hold
    • Wrong receipt correction
    • Scrap
    • Operational correction
  • Product Number *Required
    Enter the Product Number of the product to adjust.

  • SKU Number *Required
    Enter the SKU Number of the SKU to adjust.

  • Facility Code *Required
    Enter the code for the facility that contains the inventory to adjust.

  • Location Code *Required
    Enter a location code within the specified facility that can be used for inventory adjustments.

  • Adjustment Action *Required
    Select one of the following from the drop-down list.

    • Increase
    • Decrease
    • Set quantity

  • Quantity *Required
    Enter the adjustment quantity or, for Set quantity, the quantity after adjustment.

    • For Increase or Decrease, enter the quantity to adjust. Enter a value greater than 0.
    • For Set quantity, enter the inventory quantity after adjustment. You can enter 0.
  • Inventory Segment
    Enter the segment code of the inventory to be adjusted.

    • When adjusting inventory with no segment: Leave it blank.
    • When adjusting inventory that has an inventory segment set: Enter the target inventory segment code.
  • Lot Code
    Enter when specifying a lot.

  • Enter Expiry Date, Manufactured Date, Shelf Life Start Date, Expiry Kind, and Supplier Lot as needed.
    If you enter any of these fields, you must also enter a Lot Code.

    For Expiry Kind, select either Best before or Use by from the drop-down list.

  • Increase Base Unit Cost
    Enter this when making an adjustment that increases inventory in an environment where cost evaluation is enabled. Enter a value of 0 or greater.

Import the Completed XLSX File​

  1. Click the Inventory menu.

  2. Click the Stock tab.

  3. Click Adjustments.

  4. Click the Import XLSX button.
    The Import Inventory Adjustments From XLSX modal opens.

  5. Confirm adjustments immediately after import
    Select the checkbox to confirm adjustments immediately after import.

  6. Click the Select File button and select the completed XLSX file.

  7. Click the Preview button to review the file contents.

    • When importing as a draft: You can import without previewing the file, but previewing lets you check for errors in advance.
    • When confirming adjustments immediately after import: You must preview the file.

    In the preview, you can check the number of detail rows, the number of inventory adjustments scheduled to be created, the number of valid rows, the number of errors, and the number of warnings.
    If an error occurs, the row number, field, and error message are displayed.

    If the preview shows one or more errors, you cannot click the Import adjustments button.
    Correct the XLSX file.

    If you change the import method or XLSX file, or if the inventory quantity, allocation status, or cost changes after you run the preview, run the preview again.

  8. Click the Import adjustments button.

    When the import succeeds, the inventory adjustment is created.

    If the import fails, review the message on the screen. If the XLSX file contains errors, correct the affected rows and import it again.

Important Notes​

Check the XLSX File Contents​

If any of the following apply, you cannot import the XLSX file.

  • Required fields are blank
  • An Adjustment Number that is already used in the same brand is entered
  • Different slip dates are entered within the same Adjustment Number
  • Different adjustment reasons are entered within the same Adjustment Number
  • The combination of the Product Number and SKU Number does not match the registered product data
  • A quantity of 0 or less is entered for Increase or Decrease
  • The inventory after reduction becomes negative for Decrease
  • The same quantity as the current inventory is entered for Set quantity
  • A location code that cannot be used for inventory adjustments within the specified facility is entered
  • The specified SKU Number, Facility Code, Location Code, Inventory Segment, or Lot Code does not exist or is invalid
  • Expiry Date, Manufactured Date, Shelf Life Start Date, Expiry Kind, or Supplier Lot is entered without a Lot Code
  • The heading in the first row of the XLSX file is missing or duplicated
  • The number of detail rows exceeds 5,000 rows
  • The file size exceeds 5MB

If a file contains even one error, you cannot partially import only the valid inventory adjustments.

When Increase Base Unit Cost Is Required​

When making adjustments that increase inventory in an environment where cost evaluation is enabled, you must enter the Increase Base Unit Cost. The same applies if inventory increases as a result of Set quantity.

If cost evaluation is disabled or the adjustment decreases inventory, do not enter the Increase Base Unit Cost.

If a row requires an increase base unit cost and the field is blank, the file cannot be imported.

You can check the cost evaluation settings in [Inventory] > [Settings] > [Evaluation Policy] > [Enable Evaluation].

Check the Input Conditions for Set Quantity​

You cannot mix Set quantity with Increase or Decrease in rows where the SKU Number, Facility Code, Location Code, Inventory Segment, Lot Code, and inventory disposition match.

You also cannot enter multiple rows of Set quantity when all these fields match.
