Bulk Import Loan Return Slips for Loan Inventory (Excel)

Overview

This feature allows you to bulk register loan return slips for loan inventory using an Excel file (.xlsx).

Purpose

Use this feature to register multiple loan return slips at once via an Excel file, reducing the effort of entering them one by one on the screen.

Unifying the input rules according to the template also helps reduce input omissions and operational errors.

Feature Description

What Is a Loan Return Slip?

A loan return slip is a loan inventory transfer slip created by selecting a return target from the loan inventory for each buyer. It refers to a loan inventory transfer slip whose slip type is Loan return slip.

To create a loan return slip, the target buyer must have returnable loan inventory. Return targets are not normally selected from ordinary free stock.

Bulk Import Loan Return Slips

To bulk import loan return slips, download the XLSX template, complete it, and upload it. You can register loan inventory returned from buyers as loan return slips.

Imported loan return slips are registered with a CONFIRMED status.

About the Source Loan Inventory for Returns

The loan dispatch slip number and lot code of the return source cannot be specified in the XLSX file.

The return source is automatically selected from the currently returnable loan inventory based on the Customer Buyer Unique Code and SKU Number.

Items to Enter in the Bulk Import XLSX File

Enter the following items in the bulk import XLSX file.

  • Required: Loan Return Slip Number, Customer Buyer Unique Code, Product Number, SKU Number, Return Quantity, Return Facility Code, and Return Location Code
  • Optional: Note and Document Date

Rows entered with the same Loan Return Slip Number are imported together as a single loan return slip.

For rows with the same Loan Return Slip Number, use the same value for Customer Buyer Unique Code. To register returns from different buyers, use a different Loan Return Slip Number for each buyer.

Rows with different Loan Return Slip Number are imported as separate loan return slips.

Handling of Timezones

Specify TIMEZONE when uploading the XLSX file for bulk import.

Select the region and timezone used as the basis for the document date on the loan return slip.

Example:

  • (GMT+00:00) Etc/UTC: Registers the Document Date as a UTC date.
  • (GMT+09:00) Asia/Tokyo: Registers the Document Date as a Japan Standard Time date.

The TIMEZONE is used as the basis for the Document Date. It does not affect the creation date and time of the slip.

Instructions

Bulk import loan return slips for loan inventory by following these steps.

  1. Download the Bulk Import XLSX File
  2. Fill in the Bulk Import XLSX File
  3. Upload the Bulk Import XLSX File

Download the Bulk Import XLSX File

Navigate to the XLSX File Download Screen

  1. Click the Inventory menu.
  2. Click the Loan inventory tab.
  3. Click Loan dispatch and return slips.
  4. Click the Import XLSX button.
    The "Import Loan Inventory Slips From XLSX" modal opens.

Fill in the Form

  1. SLIP TYPE
    Select Loan return slip from the drop-down menu.

  2. LANGUAGE
    Select the language for the downloaded file from the drop-down menu.

    • Japanese
    • English

Download the XLSX File

  1. After reviewing the settings, click the Download XLSX Template button.

    The XLSX template downloads.

Fill in the Bulk Import XLSX File

  • Loan Return Slip Number (*Required)
    Enter the Loan Return Slip Number.
    The Loan Return Slip Number is not automatically generated. Be sure to enter it.

    A Loan Return Slip Number already in use by the same brand cannot be entered. Enter an unused Loan Return Slip Number.

    Rows entered with the same Loan Return Slip Number are imported together as a single loan return slip.

  • Customer Buyer Unique Code (*Required)
    Enter the Customer Buyer Unique Code of the buyer returning the inventory.

  • Product Number (*Required)
    Enter the Product Number of the product being returned.

  • SKU Number (*Required)
    Enter the SKU Number of the SKU being returned.

    If returning the same SKU to multiple destinations, separate the rows for each destination when entering.

  • Return Quantity (*Required)
    Enter the Return Quantity of the inventory to return.

  • Return Facility Code (*Required)
    Enter the Return Facility Code of the inventory facility that is the destination of the returned inventory.

    The Return Facility Code can be specified for each line item.

  • Return Location Code (*Required)
    Enter the Return Location Code of the inventory location that is the destination of the returned inventory.

    The Return Location Code can be specified for each line item.

  • Note
    Enter a note, if needed.

  • Document Date
    Enter in one of the following formats: YYYY-MM-DD, YYYY/MM/DD, or YYYY.MM.DD.
    If left blank, the Document Date is not set.

    Multiple Document Dates cannot be specified within the same Loan Return Slip Number.

Upload the Bulk Import XLSX File

Navigate to the XLSX File Upload Screen

  1. Click the Inventory menu.
  2. Click the Loan inventory tab.
  3. Click Loan dispatch and return slips.
  4. Click the Import XLSX button.
    The "Import Loan Inventory Slips From XLSX" modal opens.

Fill in the Form

  1. Select TIMEZONE from the drop-down menu.

    Select the region and timezone used as the basis for the document date on the loan return slip.

Upload the XLSX File

  1. Click the Select File button and select the completed XLSX template.

    You can also select the file by dragging and dropping it.

  2. Click the Import XLSX button.

    The number of successful and failed slips is displayed when the import is complete.

    Successful slips are registered as CONFIRMED loan return slips and can be checked in Loan dispatch and return slips.

    If any slips fail, review the on-screen details and correct the file contents.

Important Notes

About Invalid Inputs for Import

If any of the following apply, you cannot upload the XLSX file.

  • Required items are not entered.
  • A Loan Return Slip Number already used within the same brand is entered.
  • Different Customer Buyer Unique Codes are entered within the same Loan Return Slip Number.
  • Multiple rows with the exact same Product Number, SKU Number, Return Facility Code, and Return Location Code are entered within the same Loan Return Slip Number.
  • Different Document Dates are entered within the same Loan Return Slip Number.
  • An invalid Return Facility Code or Return Location Code is entered.
  • The Return Quantity exceeds the available remaining loaned quantity.

Return Quantities Exceeding the Available Remaining Loaned Quantity Cannot Be Specified

If the total Return Quantity in the XLSX file exceeds the available remaining loaned quantity, an error occurs during the pre-import check and the import of the entire file does not start.

Enter a Return Quantity within the available remaining loaned quantity.

Check the Import Results

If the XLSX file contains errors, the import of loan return slips does not start.

If an error occurs while registering an individual loan return slip after the XLSX file has been checked, some slips may succeed and others may fail.

After importing, check the number of successful and failed slips displayed on the screen. If any slips fail, check the displayed details and correct the XLSX file.
