Download a Goods Return Note PDF

Overview

You can generate and download a report PDF from a single Goods Return Note.

Purpose

The download function for Goods Return Note PDFs is intended for the management and centralization of return information.

Since a PDF can be generated for each individual Goods Return Note, it can be used for sharing with trading partners or for internal record-keeping.

Data Sources for PDF Content

The PDF content is determined based on the following two types of data:

  • Data referenced from the Goods Return Note: The PDF content (return amount, quantity, etc.) is determined based on the latest Goods Return Note data at the time of download.
  • Data referenced from settings and inputs during download: The PDF content (layout, display language, etc.) is determined based on the settings and input values on the download screen.

You can save download settings as default settings

The download settings used during PDF generation can be saved as default settings.

Saved default settings can be reused for subsequent PDF downloads.

Master Data Requiring Advance Registration

To use the following items, the corresponding master data must be created in advance:

  • Letter Head
  • Signature

Instructions

Navigating to the PDF Download Screen

  1. Click the Transactions menu > Delivery Management.
  2. Click the Return Delivery Notes tab.
  3. Enter criteria in each Search field as needed to filter the Goods Return Notes.
  4. Click Download PDF for the target Goods Return Note.
    The Download a Return Delivery Note PDF modal will open.

How to Complete the Form

  1. Use default settings
    Specify whether to use the saved default settings using the checkbox.

    • If the checkbox is enabled: The saved default settings will be used. Proceed directly to the steps for Download a Goods Return Note PDF.
    • If the checkbox is disabled: Default settings will not be used, and you will configure various download settings manually.
  2. Overwrite default settings with the following
    When enabled, the download settings currently configured will overwrite the settings saved in the Default settings.

    From the next time onward, the current download settings will be available as the Default settings.

  3. PDF Layout
    Select one of the following three PDF layouts from the dropdown:

    • Landscape
    • Landscape (Output the SKU of an item in one line.): You will also configure the SKU Display Options.
    • Portrait with image (Output the SKU of an item in one line.): SKU Display Options are not configured.
  4. SKU Display Options
    Configure this when Landscape (Output the SKU of an item in one line.) is selected in the PDF Layout.

    Select one of the following two options from the dropdown:

    • Display SKU information in a single column: Displays SKUs concatenated into a single column.
    • Display SKU information in multiple columns (up to 3 columns): Splits the columns for each SKU Property that composes the SKU and displays them in up to 3 columns.
  5. Letter Head
    Select a Letter Head from the dropdown.

  6. Signature
    Select a Signature from the dropdown.

  7. Font Size
    Select the font size for text in the PDF from the dropdown.

    Font sizes are selectable from 6px, 8px, 9px, and 10px.

  8. Language
    Select the display language for text in the PDF from the dropdown.

    You can select Japanese or English.

  9. Display transaction information on the first page only
    When enabled, the Transaction Information displayed in the header section will be omitted from the second page onward.

  10. SKU property column display name overwrite settings
    This setting is relevant only when the PDF Layout is Landscape.

    The display name of the SKU property columns on the PDF changes depending on whether the checkbox is enabled or disabled.

    tip

    For example, if the SKU property display names are Color and Size, the display names will change as follows:

    • If enabled: The headings in the PDF will be overwritten with their respective display names, Color and Size.
    • If disabled: The headings in the PDF will be displayed as SKU Property 1 and SKU Property 2.
  11. PDF Title Settings
    Enter the header title for the PDF.

    By default, a title corresponding to the "Language" is automatically inserted.
    It can also be customized via free text input.

  12. Buyer Information
    When the Display Customer Code in Billing Information checkbox is enabled, the buyer's Customer Code is displayed in the billing information on the PDF.

    If disabled, the buyer's Customer Code will not be displayed.

    *If the buyer's Customer Code is not registered, it will not be displayed on the PDF even if the checkbox is enabled.

  13. Maker Information / Seller Information
    Configure the following three items:

    • Maker Address: Select the maker's address from the dropdown.
    • Display Company Name in Seller Information: When enabled, the company name is displayed in the seller information of the Goods Return Note PDF.
      If disabled, the company name is hidden from the seller information of the Goods Return Note PDF.
    • Display Brand Name in Seller Information: When enabled, the brand name is displayed in the seller information of the Goods Return Note PDF.
      If disabled, the brand name is hidden from the seller information of the Goods Return Note PDF.
  14. File name
    The file name for the PDF download can be customized with any value.

Download the Goods Return Note

After confirming the input details, click the Download button.

If the process is successful, the PDF file will be downloaded.

If the process fails, an error will be displayed. Please try again.

Important Notes

If the delivery address of the Goods Return Note is not set, only the buyer name will appear in the PDF

If you want the address of the customer returning the goods to appear on the Goods Return Note PDF, edit the Goods Return Note and register a delivery address.

Conversely, if the address of the customer who is the source of the return is not required, edit the delivery address to an unregistered state.

PDF layout and language cannot be changed when "Use default settings" is enabled

If you wish to change the PDF layout, language, font size, or maker address, please uncheck Use default settings.

Editing Remarks and Free Text Fields

The PDF download function does not allow for direct editing or addition of comments or remarks.

If you wish to add comments or remarks to the PDF, please do so via the editing function of the Goods Return Note.
