Download a Delivery Note PDF

Overview​

This feature allows you to generate and download a PDF file for each Delivery Note.

Purpose​

The main purpose is to enable PDF export for individual Delivery Notes and support separate Shipment processing and verification tasks.

When sending Delivery Notes to each Trading Partner or Buyer, you can download and share only the necessary Delivery Notes.

Feature Description​

Data sources that determine the PDF content​

The content of the Delivery Note PDF is determined based on the following two types of data.

  • Data referenced from the Delivery Note: The exported content (such as Amount and Quantity) is determined based on the latest Delivery Note data at the time of Download.
  • Data referenced from settings and inputs during download: The exported content (such as Layout and display Language) is determined based on the settings and input content on the download screen.

Delivery address specifications​

If a Delivery Address is set in the Delivery Note, the Delivery Address will be included in the PDF.

If the Delivery Address of the Delivery Note is Not Set, only the Buyer name will be included in the PDF. The Address will not be included.

You can save download settings as default settings​

PDF settings at the time of download can be saved as Default settings.

Saved default settings can be reused for future PDF downloads.

Masters requiring prior registration​

To use the following items, masters must be created in advance.

  • Letter Head
  • Signature

Instructions​

Move to the Delivery Note PDF download screen​

  1. Click Transactions menu > Delivery Management.
  2. Click the Delivery Invoices tab.
    *It is open by default.
  3. Enter conditions in each Search item as needed to Filter the Delivery Notes.
  4. Click Download PDF for the target Delivery Note.
    The Download Delivery Invoice PDF modal will open.

How to fill out the form​

PDF Settings​

Confirm and set the Transaction info to be stated in the PDF.

  1. Original Buyer Name
    You can confirm the Buyer name. It cannot be edited.

  2. Delivery Address
    You can confirm whether a Delivery Address is set in the Delivery Note.

    • Delivery Address is set.: The Delivery Address will be included in the PDF.
    • Delivery Address is not set.: Only the Buyer name will be included in the PDF.

  3. Display Customer Code
    Specify whether to Show or Hide the Customer Code in the PDF using the dropdown.

    • Yes: Show the Customer Code in the PDF.
    • No: Do not show the Customer Code in the PDF.

    *If the Buyer's Customer Code is not registered, it will not be included.

PDF Content Settings​

  1. Use default settings
    Specify whether to use saved default settings using the checkbox.

    • If the checkbox is enabled: Saved default settings will be used. Proceed directly to the Download Delivery Note PDF steps.
    • If the checkbox is disabled: Default settings will not be used, and various download settings will be configured.

  2. Overwrite default settings with the following
    If enabled, the download settings currently saved in the Default settings will be overwritten with the settings from this download.

    From the next time onward, the current download settings will be available as the Default settings.

  3. PDF Layout
    Select one of the following four PDF layouts from the dropdown.

    • Landscape: SKU Display Options are not set.
    • Landscape (Output the SKU of an item in one line.): SKU Display Options are also set. Input items for SKU Display Options will be displayed.
    • Portrait with image: SKU Display Options are not set.
    • Portrait with image (Output the SKU of an item in one line.): SKU Display Options are not set.

  4. SKU Display Options
    Set this when Landscape (Output the SKU of an item in one line.) is selected for the PDF Layout.

    Select one of the following two options from the dropdown.

    • Display SKU information in a single column: Displays the SKU concatenated into a single column.
    • Display SKU information in multiple columns (up to 3 columns): Splits columns for each SKU Property that composes the SKU, displaying up to 3 columns.

  5. Letter Head
    Select a Letter Head from the dropdown.

  6. Signature
    Select a Signature from the dropdown.

  7. Font Size
    Select the font size of the text included in the PDF from the dropdown.

    Font sizes can be selected from 6px, 8px, 9px, and 10px.

  8. Language
    Select the display Language for the text included in the PDF from the dropdown.

    You can select Japanese or English.

  9. Display transaction information on the first page only
    If enabled, the Transaction Information displayed in the header will be omitted from the second page onward.

  10. SKU property column display name overwrite setting
    This setting is relevant only when the PDF Layout is Landscape.

    The display name of the SKU property column on the PDF changes depending on whether the checkbox is enabled or disabled.

    tip

    For example, if the SKU property display names are Color and Size, the display names will change as follows.

    • If the check is enabled: The PDF headings will be overwritten with their respective display names, Color and Size.
    • If the check is removed: The PDF headings will be displayed as SKU Property 1 and SKU Property 2.

  11. Show retail price on PDF line items
    If enabled, a Retail Price item will be added to the line items of the generated Delivery Note PDF.

    • This applies to delivery notes where the trade condition is anything other than Wholesale Price / Recommended Retail Price.
    • If the trade condition of the delivery note is Wholesale Price / Recommended Retail Price, this will not be applied as "Suggested Retail Price" (JODAI) is always included as usual.

  12. PDF Title Settings
    Enter the header title for the PDF.

    By default, a title corresponding to the "Language" is automatically inserted.
    It can also be customized with Free text.

  13. Maker Information / Seller Information
    Set the following three items.

    • Maker Address: Select the Maker Address from the dropdown.
    • Display Company Name in Seller Information: If enabled, the Company Name will be displayed in the Seller Information of the Delivery Note PDF.
      If disabled, the Company Name will be hidden from the Seller Information of the Delivery Note PDF.
    • Display Brand Name in Seller Information: If enabled, the Brand Name will be displayed in the Seller Information of the Delivery Note PDF.
      If disabled, the Brand Name will be hidden from the Seller Information of the Delivery Note PDF.

  14. File name
    You can customize the file name when downloading the PDF with any value.

Download Delivery Note PDF​

After confirming the input content, click the Download button.

If the process is successful, the PDF file will be downloaded.

If the process fails, an error will be displayed. Please try again.

Important Notes​

If the delivery address of the delivery note is not set, only the buyer name will be included​

If you want to include the Delivery Address in the Delivery Note PDF, please edit the Delivery Note and register the Delivery Address.

Conversely, if the Delivery Address is not required, please edit the Delivery Note to an unregistered state.

PDF layout and language cannot be changed when "Use default settings" is enabled​

If you want to change the PDF Layout, Language, Font Size, Maker Address, etc., please uncheck Use default settings.

Editing Remarks and Free text fields​

The PDF download feature does not allow you to directly edit or add comments or remarks.

If you want to add comments or remarks to the PDF, please do so from the Delivery Note Edit feature.
