Create a Payment Confirmation
Overview
This feature allows you to register payment details from buyers as a Payment Confirmation and clear the billing balance.
Purpose
The primary purpose of payment confirmation creation is to link payment records to billing balances recorded based on invoices and manage billing balances centrally.
By organizing payments by Buyer and currency combination, it becomes easier to understand the status of outstanding amounts in DEXTRE.

About Payment Confirmation
Payment Confirmation is a feature used to clear the billing balance held by a buyer.
The billing balance, which is recognized as an unpaid amount based on the invoice, is cleared by creating a payment confirmation.
One payment confirmation is created for each combination of buyer and currency.

Payment Confirmation Amount
The payment confirmation amount is automatically set to the billing balance corresponding to the target buyer and currency by default.
If necessary, you can change it to any amount to match the actual payment amount.
Only amounts greater than 0 can be entered for the payment confirmation amount. You cannot create a payment confirmation with an amount of 0 or less.
You can also enter an amount that exceeds the billing balance, in which case the billing balance will become negative, allowing you to recognize that an overpayment has occurred.
Maker Bank Account
To set a maker bank account, you must create a bank account master in advance.
Bank accounts corresponding to the currency can be used.

The maker bank account can also be left as not set.
Automatic Generation Rules for Payment Confirmation Number
You can specify whether the payment confirmation number is automatically generated or manually customized.
If automatically generated, it will be created based on DEXTRE's standard rules or the document numbering rule settings.

Applying Tags
You can apply Tags to the payment confirmation at the same time it is created.
Instructions
Navigating to the Payment Confirmation Creation Screen
- Click the Transactions menu > Billing Management.
- Click Create Payment Confirmation.
You will be redirected to the "Create a New Payment Confirmation" page.
How to Fill Out the Form

Select Buyer
Click the Select button for the buyer for whom you want to create a payment confirmation.You can search for the target buyer by filtering conditions from each item in the Search Buyers.

Currency
Select the target currency from the dropdown menu. -
Payment Confirmation Amount
Enter the actual payment amount. -
Maker Bank
Select the bank account where the payment was received from the dropdown menu.If you do not want to register a bank account, select Not Set.

Payment Confirmation No.
Use the toggle button to specify whether to manually customize the payment confirmation number or generate it automatically.- Enable Customize Payment Confirmation No.: Set the payment confirmation number using free text.
- Disable Customize Payment Confirmation No.: The payment confirmation number will be automatically generated.

Confirmed Date
Enter the date the payment was confirmed. Specify the date from the calendar.*It is recommended to enter the date the payment was actually received.

Note
Enter an internal memo. This will not be output to the PDF. -
Select Tags
Select the tags to be applied to the payment confirmation being created.You can set control tags for internal data classification and operational notes.
Control tags are not visible to buyers.Enable the checkbox for the tags you want to set from the options.

How to Create Tags

Click Create Tag.
The "Create a New Tag" modal will open. -
Enter the following items:
- Tag Code (Required)
Enter the code that identifies the tag. - Tag Name (Required)
Enter the display name of the tag. - Description
Enter a brief description of the tag. - Tag Color
Use the toggle button to specify whether or not to set a tag color.- Set Color is enabled: Specify any color from the color picker.
- Set Color is disabled: No tag color will be set.
- Tag Code (Required)

After confirming the entered details, click the Create button.
The created tag will be added to the options in Select Tags.
Create Payment Confirmation
After confirming the entered details, click the Create button.
When the process is successful, the payment confirmation is created.
Important Notes
Enter the Actual Payment Amount for the Payment Confirmation Amount
Please enter the actual payment amount for the payment confirmation amount.
By default, the amount of the billing balance is set automatically, but it may differ from the actual payment amount.
Always check to ensure there are no mistakes in the amount.
