Bulk Import Products Version 2 (Create/Update | Excel)

Overview

This feature allows you to import Products and SKUs using a "Product Data Import XLSX File", enabling you to Bulk Create or Update existing data in one go.

Purpose

Bulk Import Products Version 2 is used to reduce the workload and time required for manual, one-by-one operations on the screen by handling the registration and updating of Products and SKUs collectively via an XLSX file.

Additionally, by unifying the entry procedures and rules into an XLSX file, it helps standardize workflows and prevents reliance on specific individuals.

Feature Description

Import Unit

Bulk Import Products Version 2 imports product data in XLSX format.
The import is performed per single SKU Template unit.

The "Product Data Import XLSX File" is filled out in a one-row-per-SKU format.
Data at the "Product" level is handled based on the earliest row within the same model number.

Determination of New Registration vs. Existing Update

Bulk Import Products Version 2 supports both Existing Update and Create new.
During import, the system determines the action based on the existence of the model number and SKU Number.

  • If the model number exists: Update the corresponding product.
  • If the model number does not exist: Create new.
  • If the SKU Number exists: Update the corresponding SKU.
  • If the SKU Number does not exist: Create a new SKU.

XLSX File Columns and Valid Values

The column names, number of columns, valid values, and Required/Optional status of the "Product Data Import XLSX File" vary depending on the Maker/Brand settings, the selected SKU Template, and the settings at the time of download (e.g., Number of Materials, Number of Category Groups, and selected Custom Attributes).
Always treat the downloaded XLSX file as the definitive guide for input.

Input specifications change based on elements such as:

  • Localized items: Depends on the languages enabled in Core Preferences.
  • Currency, Transaction Terms, and Price: Depends on settings in Core Preferences.
  • Tax: Depends on the master data in Create a Tax Master.
  • SKU Property: Depends on the selected SKU Template and SKU Property definitions (enter the SKU Property Value Code corresponding to each column).
  • Product Attributes such as Categories, Materials, and Custom Attributes: Depends on the master data in Products > Product Attributes and the selections made during download.

Instructions

Perform Bulk Import Products Version 2 (Create/Update) using the following steps.

  1. Download the "Product Data Import XLSX File"
  2. Fill out the "Product Data Import XLSX File"
  3. Import the completed "Product Data Import XLSX File"

1. Download the "Product Data Import XLSX File"

Navigate to the XLSX File Download Page

  1. Click the Products menu.
  2. Click the Product Data Import tab.
  3. Click Download Products Data Import XLSX File under Product Data Import Version2 (Supports Create and Update).
    You will be redirected to the "Download Product Data Import XLSX File" page.

How to Fill Out the Form

  1. SKU Template
    Select the SKU Template from the pull-down menu to be used for the bulk import.

    You cannot perform a bulk import that mixes different SKU Templates.

  2. File Language
    Select Japanese or English from the pull-down menu.
    The column names in the Excel file will be displayed in the selected language.

  3. Number of Category Groups
    Enter the maximum number of category groups that can be registered for a product.

    Input a number that accommodates the product with the most category groups.

  4. Number of Materials
    Enter the maximum number of material items (e.g., outer fabric, lining, separate fabric) that can be registered.

    Input a number that accommodates the product with the most materials.

  5. Include SKUs with archived status (hidden) in the download file.
    Check this if you want to include SKUs with an archived (hidden) SKU Status when performing a bulk update.

  6. Custom Attributes
    Specify whether to include all custom attributes or not using the toggle button.

    • Enable Include all custom attributes: All custom attributes are selected.
    • Disable Include all custom attributes: You can select specific custom attributes or download without selecting any.

    When downloading with selected custom attributes, two items, "Product Level" and "SKU Level," will be added for each custom attribute.

    Enter data into "Product Level" for custom attributes set per product (model number), and into "SKU Level" for values that differ by SKU.

  7. Search Products
    For bulk updates, you can search for products to be updated.

  8. Selected Products
    In the case of a bulk update, select the products to be updated by checking them.

    • To select all products matching the search criteria, click Select All.
    • To uncheck all, click Remove All Selections.

    For new registrations, you can download the file without selecting products.

    If necessary, you can also select and download one product to serve as a sample.

Execute Download

Once the input is complete, click the Download button.
The XLSX file will be downloaded.

2. Fill out the "Product Data Import XLSX File"

Open the downloaded "Product Data Import XLSX File" and fill in each item.

Refer to the XLSX File Columns and Valid Values in the Feature Description section for prerequisites.
This section explains items that depend on input specifications, settings, and master definitions.

Description of Input Items

The columns displayed in the XLSX file will increase or decrease based on the Maker/Brand environment, SKU Template, and download settings (e.g., Number of Materials, Number of Category Groups, and selected Custom Attributes).

Refer to the following to enter data for Create new or Update.

Do not rewrite the column names.
Rewriting column names will cause import errors.

  • Model Number
    Enter the model number.

  • Product Display Name
    Enter the product name for each language.

  • SKU Number
    Enter a unique value for each SKU.

    Example (Apparel): ModelNumber_Color_Size

  • SKU Barcode
    Enter the SKU barcode if available.

  • SKU Property
    Items used to create SKU combinations.
    Enter the SKU Property Value Code corresponding to each column.

  • SKU Status
    A flag that controls whether the SKU is enabled or disabled.
    Enter active to enable or archived to disable.

  • Backorder Disallowed
    A flag that controls whether the SKU is specified as ineligible for backorder.
    Enter true to make it ineligible, or false otherwise.

  • SKU Weight
    Enter the weight according to the unit.
    Only numerical values are allowed.

    *Units are set during the initial setup of the Maker environment. Currently, they cannot be changed by the user.

  • Recognize Description As HTML
    Enter true to use HTML tags in the product description, or false otherwise.

  • Product Description
    Enter the detailed description of the product.
    Input for each language enabled in Core Preferences.

    If Recognize Description As HTML is set to true, you can use HTML tags.

    The allowed tags and attributes are as follows:

    • HTML tags: h1, h2, h3, h4, h5, h6, br, b, strong, em, i, s, div, p, span, table, thead, tbody, tfoot, tr, th, td, ul, ol, li, dl, dt, dd
    • Attributes: style (Only color can be used.)
  • Product Short Description
    Enter a short comment for the product list.
    Input for each language enabled in Core Preferences.

  • Catalog PDF Note
    Enter notes for the catalog PDF.
    Input for each language enabled in Core Preferences.

  • HS Code
    Enter the HS code used for features like Export Documents.

  • Product Description Attribute
    Enter the description of goods (content details) used for features like Export Documents.
    Use values previously registered in the master data.

  • Price
    Enter the price for each combination of "Transaction Term" and "Currency."
    For "Wholesale Price / Recommended Retail Price," enter the retail price.

  • Reference Retail Price
    Enter the Suggested Retail Price (Manufacturer's Suggested Retail Price) corresponding to the transaction currency.

  • SKU Manufacturing Cost
    Enter the manufacturing cost.
    Currently, only JPY is supported.

  • Tax
    Enter true to apply tax, or false otherwise.
    Taxes registered in the master data will be displayed in columns.

  • Country Of Origin
    Enter the 2-letter ISO country code.

  • Is Selectable Delivery Date
    Enter true to enable or false to disable.
    When enabled, buyers can specify a delivery date during ordering.

    The delivery date can be any date within the range from Delivery Date1(From) to Delivery Date2(To).

  • Delivery Date1(From)
    Enter the scheduled delivery date (From) in yyyy-MM-dd format.

    Example: 2026-01-01

  • Delivery Date2(To)
    Enter the scheduled delivery date (To) in yyyy-MM-dd format.

    Example: 2026-01-31

  • Category
    Enter category names up to 3 levels.

    • A combination of Category, Sub Category, and Sub Sub Category constitutes one Category Group.
    • Use values previously registered in the master data.
  • Material Type
    Enter one of the following material types. This is used for export purposes.

    • woven
    • knit
    • leather
    • none: If no applicable material type exists.
  • Material Name
    Enter the composition (blend ratio).

  • Material Parts Name
    Enter the name of the material part.

    Example (Apparel): Part names such as "Body," "Outer Fabric," "Lining," or "Separate Fabric."

  • Custom Attribute (Product Level)
    Register values for pre-registered custom attributes at the product level.
    For example, register items common to all SKUs here.

  • Custom Attribute (SKU Level)
    Register values for pre-registered custom attributes at the SKU level.
    Use this if values differ for each SKU.

Required Items

Required items (items that cause an import error if left blank) vary depending on the SKU Template, environment settings, and download settings.
Follow the column definitions in the downloaded XLSX file for Required/Optional status.

Examples of required items include (may vary by SKU Template):

  • Model Number
  • Product Display Name
  • SKU Number
  • SKU Property
  • SKU Status
  • Price
  • Reference Retail Price

Saving the XLSX File

Once data entry is complete, save and close the XLSX file.

If formulas remain in the XLSX file, it may cause an error during import. Use "Copy > Paste Special > Values" before saving.

3. Import the completed "Product Data Import XLSX File"

Follow these steps to import the completed "Product Data Import XLSX File" into DEXTRE.

Navigate to the Product Bulk Import Screen

  1. Click the Products menu.
  2. Click the Product Data Import tab.
  3. Click Product Data Import under Product Data Import Version2 (Supports Create and Update).
    The "Product Data Import" modal will open.

Execute Product Bulk Import

  1. Select the edited "Product Data Import XLSX File" from Select File.

  2. Click the Import button.

    • If processing is successful, products will be added or updated according to the file content.
    • If it fails, an error message will be displayed.
      Correct the file based on the error details.

Important Notes

Use the Latest XLSX File for Updates

When performing updates, always download the latest "Product Data Import XLSX File".

Editing and reusing an old XLSX file may cause unintended data loss if the product master has been updated via the UI in the meantime.

Back Up the Downloaded XLSX File

Always keep a backup of the downloaded XLSX file so you can restore data if an upload contains incorrect information.

Avoid Conflicts Between UI Operations and Import Operations

If another member updates the product master via the UI while you are filling out the XLSX file, those changes will not be reflected in your file and will be overwritten upon import.

Coordinate work timing to prevent conflicts between import operations and individual UI operations.

Save with Rows/Columns Unhidden and Filters Cleared

Save the "Product Data Import XLSX File" with all rows and columns visible.

  • Unhide any hidden rows or columns.
  • Clear any applied filters.

Convert Formulas to Values Before Saving

Any formulas used in the "Product Data Import XLSX File" must be converted to static values before saving.

Troubleshooting

Error Occurs in SKU Property

For SKU Property input, you must accurately enter the SKU Property Value Codes created in the master data.

  • Use the data validation options available in the cells of the "Product Data Import XLSX File".
  • If the required SKU Property Value does not exist, register it beforehand via "Products menu > Product Attributes > SKU Properties tab > Edit button of the desired SKU Property."

Duplicate Error in SKU Combinations

If the following error appears, there are duplicate combinations of SKU Property Values within a single product.

There are two or more combinations of SKU property values within one product.

Review the input in the XLSX file to ensure that the same combination of SKU Property Values does not appear in multiple rows within the same model number.

Specific Example (Apparel): For a product with model number shirt-001, a combination of Color: Black and Size: S exists in two or more rows.
