Bulk Download Delivery Note PDFs

Overview​

You can select multiple delivery notes and download them in bulk as a single integrated PDF file.

To download delivery note PDFs one by one, please refer to Download a Delivery Note PDF.

Purpose​

Since multiple delivery notes can be exported together in one PDF file, you can save the effort of downloading them individually, making document preparation before shipping and sharing with external contractors more efficient.

By saving and reusing default settings, you can reduce the effort of entering settings each time.

By keeping bulk-exported delivery note PDFs as records, they can also be used for audit trail management and ensuring control.

Feature Description​

Data Sources that Determine PDF Export Content​

The content of the exported delivery note PDF is determined based on the following two types of data:

  • Data referenced from the delivery note: The content included in the exported PDF (such as delivery amount and quantity) is determined based on the latest delivery note data at the time of download.
  • Data referenced from settings and inputs at the time of download: The content included in the exported PDF (such as layout and display language) is determined based on the settings and input content on the download screen.

Delivery Address Behavior During PDF Export​

If a delivery address is set in the delivery note, the Delivery address will be included in the exported PDF.

If the delivery address in the delivery note is not set, only the buyer name will be included in the exported PDF. The address will not be included.

Download Setting Items​

The following items can be set as export settings at the time of download:

  • PDF layout
  • Letterhead, Signature
  • Font size
  • Export language
  • PDF header title
  • Manufacturer information
  • Various other export options

Types of PDF Layouts​

The PDF layout can be specified from the following multiple layouts at the time of download:

  • Landscape
  • Landscape (Output SKU in 1 row)
    • Display SKU information in 1 column
    • Display SKU information in multiple columns (up to 3 columns)
  • Portrait (with image)
  • Portrait (with image) (Output SKU in 1 row)

Saving Default Settings​

The export settings at the time of download can be saved as default settings.

Saved default settings can be reused for future PDF downloads.

Masters Required to be Registered in Advance​

If you use a letterhead and signature, the masters must be created in advance.

Instructions​

Moving to the Delivery Note PDF Download Screen​

  1. Click Transactions > Delivery Management.

  2. Click the Delivery Invoices tab.
    *This is opened by default.

  3. Enter criteria in each item of Search as needed to narrow down the delivery notes.

  4. Check the checkboxes for the delivery notes you want to download as PDFs. You can make multiple selections.

  5. Click Download PDF.
    The Download Delivery Invoice PDF modal will open.

    When downloading multiple delivery note PDFs in bulk, please click Download PDF that applies to the entire delivery note list, rather than Download PDF for individual delivery notes.

How to Fill Out the Form​

PDF Settings​

Confirm and set the transaction information to be included in the PDF.

  1. Original Buyer Name
    You can confirm the buyer name. It cannot be edited.

  2. Delivery Address
    You can confirm whether a Delivery address is set in the delivery note.

    • Delivery address is set: The Delivery address will be included in the exported PDF.
    • Delivery address is not set: Only the buyer name will be included in the exported PDF.

  3. Display Customer Code
    Specify whether to show or not show the customer code on the PDF using the dropdown.

    • Yes: Shows the customer code on the PDF.
    • No: Does not show the customer code on the PDF.

    *If the buyer's Customer Code is not registered, it will not be included.

PDF Content Settings​

  1. Use default settings
    Specify whether to use saved default settings using the checkbox.

    • If the checkbox is enabled: Saved default settings will be used. Proceed directly to the Download Delivery Note PDF steps.
    • If the checkbox is disabled: Default settings will not be used, and you will configure various download settings.

  2. Overwrite default settings with the following
    If enabled, the download settings currently being configured will overwrite the download settings saved in the Default Settings.

    From the next time onward, the current download settings can be used as the Default Settings.

  3. PDF Layout
    Select one of the following four from the dropdown:

    • Landscape: SKU Display Options are not set.
    • Landscape (Output the SKU of an item in one line.): SKU Display Options are also set.
    • Portrait with image: SKU Display Options are not set.
    • Portrait with image (Output the SKU of an item in one line.): SKU Display Options are not set.

  4. SKU Display Options
    Displayed when Landscape (Output the SKU of an item in one line.) is selected in PDF Layout.
    Select one of the following two from the dropdown:

    • Display SKU information in a single column: Displays SKUs concatenated into a single column.
    • Display SKU information in multiple columns (up to 3 columns): Splits columns for each SKU property that makes up the SKU, displaying up to 3 columns.

  5. Letter head
    Select a letterhead from the dropdown.

  6. Signature
    Select a signature from the dropdown.

  7. Font Size
    Select the font size of the text in the exported PDF from the dropdown.

    Font sizes can be selected from 6px, 8px, 9px, and 10px.

  8. Language
    Select the display language of the text in the exported PDF from the dropdown.

    You can select from Japanese or English.

  9. Display transaction information on the first page only
    If enabled, the Transaction Information displayed in the header section will be omitted from the second page onwards.

  10. SKU property column display name overwrite settings
    This setting is only relevant when the PDF Layout is Landscape.

    The SKU property column display name on the PDF changes depending on whether the checkbox is enabled or disabled.

    tip

    For example, if the SKU property display names are Color and Size, the display names will change as follows:

    • If the checkbox is enabled: The headers in the exported PDF will be overwritten with their respective display names, Color and Size.
    • If the checkbox is unchecked: The headers in the exported PDF will be displayed as SKU property 1 and SKU property 2.

  11. Show retail price on PDF line items
    If enabled, an item for retail price will be added to the line items of the exported delivery note PDF.

    • This applies to delivery notes where the transaction terms are other than Wholesale Price / Recommended Retail Price.
    • If the transaction terms of the delivery note are Wholesale Price / Recommended Retail Price, the "Wholesale Price" will always be included as before, so this will not be applied.

  12. PDF Title Settings
    Enter the header title for the PDF.

    By default, a title corresponding to the "Language" is automatically inserted.
    You can also customize it with free entry.

  13. Maker Information / Seller Information
    Set the following three items:

    • Maker Address: Select the maker's address from the dropdown.
    • Display company name in seller information: If enabled, the company name will be displayed in the seller information of the delivery note PDF.
      If unchecked, the company name will be hidden from the seller information of the delivery note PDF.
    • Display brand name in seller information: If enabled, the brand name will be displayed in the seller information of the delivery note PDF.
      If unchecked, the brand name will be hidden from the seller information of the delivery note PDF.

  14. File Name
    You can customize the file name when downloading the PDF with any value.

Download Delivery Note PDF​

After confirming the input content, click the Download button.

If the process is successful, the selected multiple delivery notes will be combined into a single PDF file and downloaded.

If the process fails, an error will be displayed. Please try again.

Important Notes​

Only one PDF file is generated​

With this feature, multiple selected delivery notes are combined into a single PDF file for download.

It is not a feature that generates PDF files separately for each buyer.

If the Delivery address in the delivery note is not set, only the buyer name will be included in the exported PDF​

If you want to include the delivery address in the exported delivery note PDF, please edit the delivery note and register the delivery address.

Conversely, if the delivery address is not required, please edit the delivery address to an unregistered state.

When "Use default settings" is enabled, PDF layout and language cannot be changed​

If you want to change the PDF layout, language, font size, manufacturer address, etc., please uncheck Use default settings.

Editing Remarks and Free Description Fields​

In the PDF download feature, you cannot directly edit or add text to comments or remarks.

If you want to add comments or remarks to the PDF, please do so from the delivery note editing feature.
