Bulk Update Buyers with Quick Edit

Overview

Using the Quick Edit feature of Buyer Management, you can bulk update multiple buyer information in a table-format screen.

Purpose

The feature to bulk update buyers via Quick Edit is used to update multiple pieces of buyer information at once, reducing the editing workload on the screen.

Since the operations of selecting and entering buyer information can be performed in a continuous flow, the time required for update work can be shortened.

Additionally, because the bulk update steps are completed within the screen, it is also used to reduce operational errors such as missed updates or input mistakes.

Feature Description

What is Bulk Update via Quick Edit?

This feature allows you to Quick Edit multiple pieces of buyer information and bulk update them on the management screen.

In the Quick Edit screen, you can edit and update buyer information and input items displayed in a table format.

Scope of Updatable Items

The updatable items are equivalent to individual editing performed from "Buyer Management > Connected Buyers > Edit for any buyer."

However, some items are excluded, such as address information and access permissions for private catalogs.
Also, items unique to "Offline Buyers" are not covered.

Tag Creation in the Quick Edit Screen

In the Quick Edit screen, you can create tags for buyers on the spot.

Instructions

Moving to the Quick Edit Screen

  1. Click the Buyers menu.
  2. Click the Connected Buyers tab.
    *This is opened by default.
  3. From the list of buyers, enable the checkboxes for the buyers you wish to edit.
    • Multiple checkboxes can be selected.
    • You can search for buyers by filtering each item from Search Buyers.
    • To select all buyers that match the search criteria, click Select All.
  4. Click the dropdown for Select action.
  5. Click Quick Edit.
    The "Edit Buyers" modal will open.

How to Enter the Form

Edit each item of the buyer information as necessary.

Updatable Items - Basic Buyer Data

  1. Unique Code
    Enter the unique code of the buyer.

    • When connected to a buyer through an invitation, etc., a unique code will be automatically generated if it is not registered.
    • Used during bulk creation of orders or original delivery notes.
    • Codes that duplicate other buyers cannot be registered.
  2. Customer Code
    Enter the customer code for logistics or accounting management.
    *Can be left blank.

  3. Display Name
    You can enter a customized buyer name to be displayed on the Merchant App.

Updatable Items - Items Related to Transactions

  1. Billing Schedule
    You can select a Billing Schedule created using the Billing Schedule feature.

    • To apply to all buyers being edited: Select a billing schedule from the dropdown within the item frame and click the Apply button.
    • To select a billing schedule for each buyer: Select a billing schedule from the dropdown for each buyer.

    The selected billing schedule will be applied to the buyer.

  2. Transaction Language
    Select the transaction language to be used from the dropdown.

  3. Transaction Currency
    Select the currency to be used from the dropdown.

  4. BILLING TERM
    Select With Deposit or Without Deposit from the dropdown.

    • With Deposit: Select this when charging a deposit (prepayment) for overseas transactions, etc.
    • Without Deposit: Select this when not charging a deposit.
  5. Deposit Condition
    If you selected Deposit in the payment term, enter the deposit percentage.

    (Example) For Deposit 30% / Balance 70%, enter "30".

  6. Transaction Term
    Select the transaction term and enter the transaction term rate.

    • Wholesale Price / Recommended Retail Price: Enter the RATIO.
    • Other transaction terms such as EXW, DDP, FOB: Enter the PERCENT OFF.
  7. SALES AGENT TRANSACTION TERM
    You can set transaction terms for consignment sales used in the Partner Inventory feature.
    If a different transaction term is required for regular transactions and consignment sales, please set the toggle button to Enable.

    If the toggle button is set to Enable, select the transaction term and enter the transaction term rate.

    • Wholesale Price / Recommended Retail Price: Enter the RATIO.
    • Other transaction terms such as EXW, DDP, FOB: Enter the PERCENT OFF.

Updatable Items - Passcode

  1. PASSCODE ENABLED
    Setting a passcode allows the brand side to perform operations using the buyer's account.
    Specify whether or not to set a passcode using the toggle button.

    Clicking the Enable or Disable button within the item frame will apply it to all buyers being edited.

  2. Passcode Value
    If Enable Passcode is set to Enable, set the passcode.

    • Enter 4 or more alphanumeric characters in the input field.
    • Clicking the arrow button (displays Generate Passcode when hovering) will generate a random 8-character string.
    • Clicking Generate Passcode within the item frame will generate a random 8-character string for all buyers being edited.

Updatable Items - Items Related to Receipt and Payment

  1. DEFAULT SELLER BORNE BANK TRANSFER FEE
    If there is a fixed bank transfer fee to be borne by the manufacturer side upon receipt of payment from the buyer, it can be set.

  2. TAX IDENTIFICATION NUMBER (E.G., VAT OR TAX-RELATED ID)
    Enter the buyer's tax identification number.

  3. PAY OUTSIDE THE APP TERMS
    You can freely enter text for the payment terms to be stated on invoices, etc.

Updatable Items - Email Addresses

  1. BILLING INVOICE NOTIFICATION EMAIL ADDRESS
    You can register email addresses to be used when sending invoice PDFs via email.

    • Up to 3 addresses can be registered.
    • Entering an email address in the item frame and clicking the Apply button will apply it to all buyers being edited.
  2. Delivery Note Notification Email Address
    You can register email addresses to be used when sending delivery note PDFs via email.

    • Up to 3 addresses can be registered.
    • Entering an email address in the item frame and clicking the Apply button will apply it to all buyers being edited.

Updatable Items - Custom Attribute

  1. Custom Attribute
    You can register data for pre-registered custom attributes.

    Entering data in the item frame and clicking the Apply button will apply it to all buyers being edited.

Updatable Items - Use of Tag

  1. Tag
    You can set management tags for internal data classification or operational notes.
    Management tags are not displayed on the buyer's screen.

    Enable the checkboxes for the tags you wish to set from the options.

    Furthermore, clicking Create Tag allows you to create a new tag on the spot.

How to Create a Tag

  1. Click Create Tag.
    The "Create A New Tag" modal will open.

  2. Enter the following items:

    • Tag Code (Required)
      Enter the code that identifies the tag.

    • Tag Name (Required)
      Enter the display name of the tag.

    • Description
      Enter a brief description of the tag.

    • Tag Color
      Specify whether or not to set a tag color using the toggle button.

      • Set color is active: Specify any color from the color picker.
      • Set color is inactive: No color is set for the tag.
  3. After confirming the input details, click the Create button.
    The created tag will be added to the options for Select Tag.

Reflecting Updates

After confirming the input details, click Update.

The edited content for the buyers will be reflected.

Important Notes

Edit offline buyer-specific data on a separate page

Data specific to offline buyers, which is outside the scope of this feature, is edited on the "Edit an Offline Buyer" page via the "Buyers menu > Offline Buyers tab."

On the other hand, items displayed in the editing screen for Active Buyers, such as transaction terms, are edited via Connected Buyers.

Changes to transaction terms are not applied retroactively to past orders

Even if transaction terms are changed, the conditions will not be applied retroactively to past orders.

Troubleshooting

Cannot change email address/buyer's country

What can be edited is the management data handled by the brand.
Since the ownership of the buyer organization itself lies with the customer, the brand cannot change the email address, country of residence, or buyer name of the buyer organization.
*This excludes offline buyers.

Cannot change the buyer type of company/individual

Due to specifications, the buyer type cannot be changed.
If a change in buyer type is necessary, please migrate the data using the following steps. Cooperation from the customer will be required.

  1. Invite a new buyer with the correct buyer type.

  2. Have the customer accept the invitation.

  3. On the following operation screen, transfer data ownership from the old buyer to the new buyer.

    Buyers menu > Connected Buyers > Select the buyer that is the source of the data ownership transfer > Bulk Action > Transfer Data Ownership

Data ownership transfer only migrates data on the brand side.
From the customer's perspective, order data from the old buyer will not be carried over to the new buyer.
