Bulk Invite Buyers from Offline Buyers
Overview
You can bulk create invitations or offers to migrate offline buyers into customer-owned buyers.
Purpose
This is used for the purpose of centralizing buyer information by inviting offline buyers in bulk and migrating them to buyers managed on the customer side.
Since multiple offline buyers can be processed together, the work steps can be reduced compared to individual handling, and the time required to create invitations can be shortened.
Feature Description
What you can do with bulk invitations
With this feature, you can target multiple offline buyers at once and create invitations or offers.
When an invitation or offer created based on an offline buyer is accepted by the customer, the original offline buyer migrates to the customer's management as a customer-owned buyer.
During migration, transaction data and unique settings registered to the offline buyer are carried over to the destination buyer.
Messages that can be set
When creating an invitation, you can simultaneously set a common message to be sent to the target buyers.
If the target buyers include multiple transaction languages, set the message for each language.
Management location after creation
The created invitations and offers can be managed from the following lists:
- Invitations: Buyers menu > Sent Invitations tab
- Offers: Buyers menu > Sent Offers tab
Instructions
Moving to the bulk create buyer invitations screen

Click the Buyers menu.

Click the Offline Buyers tab.

Select the checkboxes for the offline buyers you want to invite in bulk.
- If necessary, you can narrow down buyers by entering criteria in Search Buyers.
- To select all buyers that match the search criteria, click Select All.
- To uncheck all, click Remove All Selections.

Click Create Invitation.
The "Bulk create buyer invitations" modal will open.

Check the offline buyers displayed as invitation destinations.

Message
Enter a common message for the buyers.If the target buyers include multiple transaction languages, enter the message for each language.
When offer destination candidates for existing buyers are displayed
If an existing buyer owned by a customer with an email address matching the offline buyer being invited exists on the DEXTRE platform, offer destination candidates will be displayed for each offline buyer.
Select one of the following for each offline buyer where a candidate is displayed:
- Offer to an existing buyer: Select one from the existing buyer candidates and send an offer.
- Invite as a new buyer: Select Do not assign a buyer and invite by creating a new buyer separately from the existing buyer.
Offline buyers for whom no offer destination candidates are displayed will be invited as new buyers as they are, without additional selection.
Creating bulk invitations
After confirming the input details, click the Create button.
If the process is successful, an invitation or offer will be created for the target buyer.
At the same time, a notification email will be sent to the target buyer.
Important Notes
Note on management fragmentation when inviting as a new buyer
If you select Do not assign a buyer and invite as a new buyer, a new buyer will be created upon acceptance of the invitation, even if the customer already has an existing buyer.
If a new buyer is created for a customer who already has an existing buyer, the management target on the customer side will be fragmented between the existing buyer and the newly created buyer, so we recommend obtaining prior agreement from the customer.
Offline buyers that cannot be selected
When bulk inviting offline buyers, the following offline buyers cannot be selected:
- Offline buyers who have already been invited or offered.
- Offline buyers for whom the same email address as another existing offer is set.
- Offline buyers whose status is Closed.
