Overview

By downloading and filling in the import Excel file (XLSX format) and importing it into DEXTRE, you can bulk register information for multiple offline buyers.

Purpose

Bulk Import Offline Buyers (Excel) is used to reduce registration workload and save time by entering and importing information in bulk in XLSX format, instead of registering offline buyers one by one on the screen.

Since the column structure and custom column names of the template can be defined according to your organization's operations, it is also used to align the order and naming of input items, making it easier for different staff members to perform registration using the same procedure.

Feature Description

Flow of Bulk Registration

This feature involves the following series of operations:

1. Create an Offline Buyer Import Template
2. Download the XLSX file for the Offline Buyer Import Template
3. Enter offline buyer information into the downloaded XLSX file for import
4. Import the completed XLSX file into DEXTRE

Customizing the Offline Buyer Import Template

In the Offline Buyer Import Template, you can customize and define the following:

• Number of addresses to register
• Custom attributes for buyers to include in the import
• Column order
• Column names

Instructions

Bulk registration of offline buyers is performed using the following steps:

1. Create an Offline Buyer Import Template
2. Download the Offline Buyer Import Template file
3. Fill in the Offline Buyer Import Template file
4. Import the Offline Buyer Import Template file

1. Create an Offline Buyer Import Template

Moving to the Template Creation Screen

1. Click the Buyers menu.
2. Click the Offline Buyers tab.
3. Click Offline buyer import templates.
   You will be redirected to the "Offline Buyer Import Template Management" page.
4. Click Create New bulk create template.
   You will be redirected to the "Create New Bulk Create Template" page.

First Step - Basic Template Settings

On the "First Step" screen, enter the following items:

1. Template Name
   Enter the name of the import template.

2. Number of Billing Addresses
   Enter the number of billing addresses to register for each offline buyer.

3. Number of Delivery Addresses
   Enter the number of delivery addresses to register for each offline buyer.

4. Selectable Import Columns
   Select the items to include in the import.

   • Items in Built-In (Required field) cannot be changed.
   • Check custom attributes for buyers as needed.
   • Each item will be output to the XLSX file for import in the order they are selected.

5. Reorder Fields
   The items from Selectable Import Columns are displayed in the order of their output numbers.

   You can change the order by dragging and dropping.

Once you have filled in each item in the form, click the Next button.
You will be redirected to the "Second Step" screen.

Second Step - Customizing Column Names

1. Custom Column Name
   You can customize the column names in the first row (header row) of the XLSX file by entering them here.

Once you have filled in each item in the form, click the Next button.
You will be redirected to the "Preview" screen.

Creating the Template

Check the contents of the preview and click the Create button.
The offline buyer import template will be created.

Offline buyer import templates can be edited or deleted at any time.

2. Download the Offline Buyer Import Template file

1. Click the Buyers menu.

2. Click the Offline Buyers tab.

3. Click Offline buyer import templates.
   You will be redirected to the "Offline Buyer Import Template Management" page.

4. Click the Download button for the created template.

   The XLSX file for import will be downloaded.

3. Fill in the Offline Buyer Import Template file

Open the downloaded XLSX file and enter the offline buyer information.

Items to be Entered Using Option Codes

For the following items, please enter the system-defined option codes:

• Buyer Type
• Buyer Language
• Buyer Country
• Billing Terms Type
• Transaction Terms
• Transaction Currency

For the input values of each code, refer to Codes to be entered in the Offline Buyer Import Template file.

4. Import the Offline Buyer Import Template file

1. Click the Buyers menu.

2. Click the Offline Buyers tab.

3. Click Bulk import Offline Buyers.
   The "Bulk import offline buyers" modal opens.

4. Click Select File and select the file to upload.
   You can also select the file by dragging and dropping it.

5. Click the Import button.

   If the process is successful, new offline buyers will be registered in bulk.

Important Notes

Import Only Supports New Registration

The import feature only supports new registration.

It does not include a feature to bulk update existing offline buyers.

While there is a separate feature to bulk update existing buyers, items such as Email, Phone Number, Buyer Type, and Country of Buyer are not covered by bulk updates and must be updated one by one.

It is recommended to enter as much information as possible during new registration.

Do Not Delete Cell A1

Do not delete cell A1 in the Excel file of the Offline Buyer Import Template.

• Cell A1 contains an identifier required for import.
• If cell A1 is deleted, you will not be able to import correctly.

Re-download the File After Modifying the Template

If you make edits to the offline buyer import templates, please re-download the XLSX file for the offline buyer import templates.

Updating an existing template will assign a new version.
You will not be able to import using an older version of the template file.
