Invite Members to a Buyer Organization

Overview

This section explains how to invite members, such as staff who will co-manage the buyer organization, and how invited users join the buyer organization.

Purpose

Member invitation is used to enable the buyer organization to be managed by multiple staff members.

By managing the buyer organization with multiple staff members, you can manage the organization while assigning roles to each person.

What is inviting a member?

This feature lets you invite users, such as staff who co-manage the buyer organization, as members.

When inviting members, you can set roles and permissions for each member to clarify the scope of operations related to organization management before having the invited person join the buyer organization.

Information required for invitation

To invite members, individual email addresses for each invited person are required.

Since DEXTRE requires an email address for each user account, when inviting multiple people, use the email address of each invited person.

Differences based on user account registration status

The actions required for the invitee differ depending on whether the invited user already has a user account.

  • If the invited user already has a user account: By accepting the invitation, they can join the buyer organization.
  • If the invited user does not have a user account: Registration of a user account is required when accepting the invitation.

Member roles and permissions

At the time of invitation, set the roles and permissions to be granted to the invited person.

The member roles are Owner and Member.
The role relates to the scope of operations that can be performed in member management.

  • Owner: Can delete members and change the primary owner.
  • Member: Cannot delete members or change the primary owner.

Member permissions include Admin and Write.
Currently, there is no difference in the features available for Admin and Write. Set the permission according to the member's role.

Also, if the role is Owner, the permission is automatically set to Admin.

Instructions

The inviter and the invitee perform the following operations.

  1. Inviter: Invite members to the buyer organization
  2. Invitee: Accept the invitation and join the buyer organization

1. Inviter: Invite members to the buyer organization

Navigate to the member invitation screen

  1. Click Buyer Settings.
  2. Click the Organization / Member Management tab.
  3. Click the Invite a new member button.
    The "Invite a new member" modal opens.

How to fill out the form

  1. Enter the email address of the user you want to invite.

  2. Click the Search button.

  3. Check the search results.

    • If the user account is registered: Account information is displayed.
    • If the user account is unregistered: User Account is not found. is displayed.
  4. Click the Create an invitation button.
    The member's role and permission settings are displayed.

  5. Check the email address and account name of the target account.

    If the user account is unregistered, Invite a new user. is displayed instead of the account name.

  6. Select Member Role from the pull-down.

    • Owner: Can delete members and change the primary owner.
    • Member: Cannot delete members or change the primary owner.
  7. Select Member Permissions from the pull-down.

    • Admin
    • Write

    If the member's role is Owner, the permission is automatically set to Admin.

Inviting a member

After reviewing the details, click the Send an invitation button.

An invitation is created, and an invitation email is sent to the specified email address.

2. Invitee: Accept the invitation and join the buyer organization

The invited user will receive an email with the subject Join ○○ on DEXTRE.

If the user account is registered

  1. Open the invitation email.

  2. Click Join now in the email.
    The invitation confirmation page opens in a new tab in the browser.

  3. After reviewing the invitation details, click the Accept an invitation. button.

    By accepting the invitation, you join the target buyer organization.

If the user account is unregistered

  1. Open the invitation email.

  2. Click Join now in the email.
    The invitation confirmation page opens in a new tab in the browser.

  3. Click the Accept an invitation and create an account. button.
    The user account registration screen opens.

  4. Register a user account.

    For the procedure to register a user account, see Register a User Account.

    When registering from the invitation confirmation screen, some screens differ from the normal registration steps.

    • When registering from the invitation confirmation screen, the step to Send and verify the Verification Code via email is omitted.
    • When registering, click the Register a new account and join to the buyer button.

    After registration is complete, the invitation is accepted, and you join the target buyer organization.

Important Notes

An individual email address is required for each invited person

Since an email address is required for each user account, use an individual email address for each invited person.

You cannot invite multiple users by sharing the same email address.

When inviting as an owner, check the scope of operations

Members with the Owner role can delete members and change the primary owner.

Select the role after reviewing the scope of operations to be granted to the invited person.

The invitation link expires in 2 weeks

The invitation link expires 2 weeks after it is created.

Share the invitation email or invitation link with the invited person before it expires.

Troubleshooting

I did not receive the invitation email

Check the Invitations section at the bottom of Buyer Settings > Organization / Member Management.

Click Copy invitation link to copy the invitation URL to the clipboard.

The copied invitation link can be shared directly with the invited person via email or chat tools.
