Custom Order Data Export (Excel)

Overview

You can export and download order data in Excel (.xlsx) format using a custom template.

Purpose

This feature is used to export order data with a column configuration suited to your purpose for business use and analysis.

Because the same template can be reused, it makes recurring order data organization tasks easier to perform in a consistent format.

Feature Description

What you can do with the custom export of Order Data

With this feature, you can combine the following three to export Order Data in Excel (.xlsx) format.

  • Create a Template: You can create an Order Export Template with settings such as export items, column order, Column Name, Blank Column, and Default Cell Value for the Blank Column.
  • Export with specified conditions: You can export Order Data by specifying the created template, Period, Brand, and Order Data Source.
  • File Download for Excel: Once the export process is complete, you can download the Excel file (.xlsx) from the received email or the Buyer App screen.

Order Data to be exported

There are two types of Order Data to be exported.

  • Original Order: Data at the time of placing the order
  • Confirmed Order (Order Confirmation): Data based on the Order Confirmation created by the Brand

Only valid orders are subject to export. Canceled Orders are not included.

Order Export Template settings

In the Order Export Template, you can customize and define items to export to the Excel file, column order, Column Name, Blank Column, Default Cell Value for the Blank Column, and more.

The Order Export Template is a feature designed for reuse. If there is no template that fits your purpose, you can create one once, and then export Order Data using the same template thereafter.

Export unit per export level

You can select the following 4 types of export levels in the Order Export Template.

Export LevelExport Content
Brand LevelExports data aggregated from multiple orders per Brand as one row.
Order LevelExports data with each order as one row. There is no aggregation feature.
SKU By Order LevelExports data with the SKU linked to each order as one row. There is no aggregation feature.
SKU LevelExports data aggregated from multiple orders per SKU as one row.

The rows actually exported are separated by Currency.

About SKU Property and SKU Property Value

In the templates of SKU By Order Level and SKU Level, data is exported based on the SKU Property and SKU Property Value.

  • SKU Property: It is the attribute that makes up the SKU of each Product (Model Number).
    • Example: For apparel products, Color and Size
  • SKU Property Value: It is a specific value corresponding to the SKU Property.
    • Example: When the SKU Property is Color, Black and White

The SKU, SKU Property, and SKU Property Value of a Product are data defined by the Brand side, and the Buyer App uses that data for the export of Order Data.

Instructions

The custom export of Order Data is performed in the following steps.

  1. Create an Order Export Template
  2. Export Order Data
  3. Download the Excel file

Start the operation after navigating to the Dashboard screen of the target Buyer using the following steps.

  1. Sign in to DEXTRE Buyer App.
  2. Click the Select button of the target Buyer Organization.

1. Create an Order Export Template

It is necessary to create an Order Export Template in advance.
If a template that meets your purpose does not exist, create a new one using the following steps.

Navigating to the template creation page

  1. Click the Data Exports menu.
  2. Click the Templates tab.
    *It is open by default.
  3. Click the Create a Template button.
    You will be redirected to the "Create a New Order Export Template" page.

First Step - Basic settings for the template

On the "First Step" page, enter the following items.

  1. Template No.
    Enter the name of the Order Export Template.

  2. Export Level Type
    Select the Export Level from the following 4 options.

    • Brand Level
    • Order Level
    • SKU By Order Level *Set the Number of SKU properties.
    • SKU Level *Set the Number of SKU properties.
  3. Number of SKU Properties
    Set this when you select SKU By Order Level or SKU Level in Export Level Type.

    Enter a value according to the number of attributes that make up the SKU.

    Example: If it consists of 2 attributes like Color and Size for apparel products, enter 2.

  4. Selectable Export Columns
    Check the checkboxes of the displayed items to specify the items to export.

    Export items are exported to the Excel file in the selected order.
    For example, the 1st export item will be exported to column A in the Excel file.

    Each export item can be reordered.

  5. Reorder Fields
    The items specified in Selectable Export Columns are displayed in the order of export numbers.

    In Reorder Fields, you can perform the following operations.

    • You can change the order by dragging and dropping.
    • By clicking the Trash icon, you can Remove it from the corresponding export column.
    • By clicking the Add Blank Column button, one Blank Column will be added as an export item.

After entering each item in the form, click the Next button.
You will be redirected to the "Second Step" page.

Second Step - Customization settings for Column Name and Default Cell Value

On the "Second Step" page, you can define the Column Name and Default Cell Value on the Excel file.

  1. Custom Column Name
    You can enter and customize the Column Name of the 1st row (header row) of the Excel file.

  2. Default Cell Value
    You can enter this only for a Blank Column.

    When exporting the Excel file, you can define the Default Cell Value that will be automatically entered into the cell of the corresponding column.

After entering each item in the form, click the Next button.
You will be redirected to the "Preview" page.

Create an Order Export Template

Check the contents of the Preview, and click the Create button.
The Order Export Template will be created.

The created Order Export Template can be edited and deleted at any time.

2. Export Order Data

It is necessary to create an Order Export Template in advance.
Once the Order Export Template is ready, export the Order Data using the following steps.

Navigating to the export page

  1. Click the Data Exports menu.
  2. Click the Templates tab.
    *It is open by default.
  3. Click the Order Data Exporting button.
    You will be redirected to the "Order Data Exporting" page.

How to fill out the form

Enter the following items.

  1. Export Template
    Select the template to export from the pull-down menu.

  2. Period
    Specify the target Period of the Order Data. You can select it from the calendar.

    The reference date and time for the Order Data is the creation date and time of the order.

  3. Notify To Email
    Enter the email address to send the download URL of the exported Excel file.

  4. Order Data Source
    Select the Order Data to be exported from the pull-down menu.

    • Confirmed Order (Order Confirmation)
    • Original Order
  5. Brands
    Select the Brand to be exported. Multiple selections are possible.

Execution of export

After completing the entry of each item, click the Export button.
The export process will start in the background.

When the process is complete, the download URL will be sent to the specified notification email address.

If you want to download the file from the screen, proceed to the next step.

3. Download the Excel file

Once the export process is complete, download the Excel file using the following steps.

Navigating to the download page

  1. Click the Data Exports menu.
  2. Click the Downloads tab.

File Download

  1. Click the Update button to check the completion status of the export process.
    If the process is not complete, the Download button will not be displayed.

  2. Click the Download button as soon as the process is complete.

    You can download the Excel file (.xlsx).

Important Notes

About the setting of the number of SKU Properties

In the templates of SKU By Order Level and SKU Level, specify the number of SKU Properties.

Even if you set a larger number of SKU Properties, it only increases the export columns and there is no problem with the export itself. To prevent missing exports, please specify a value that is not less than the number of attributes that make up the SKU.

As an example, for an SKU consisting of Color and Size, the number of SKU Properties is 2.
