Upload Consignment Sales Report (Excel)

Overview

This section explains the procedure for reporting consignment sales by uploading Excel files (.xlsx).

Purpose

Uploading consignment sales reports is used to reduce the workload of manual entry for each item on the screen, as it allows for the bulk reporting of sales for multiple SKUs.

Feature Description

What is Upload Consignment Sales Report?

In DEXTRE's consignment sales feature, this function allows for reporting consignment sales by uploading Excel files (.xlsx).

By downloading the XLSX template file for import, entering the data, and then uploading it, orders are created in the same way as reporting consignment sales directly from the screen.

Input Mode

Two input modes are available.

  • On-hand based: A mode where you enter the actual inventory on hand and the difference from the theoretical inventory (the quantity currently held on consignment from the brand) is recorded as sales.
  • Sold based: A mode where the number of units sold is recorded directly as sales.

Behavior After Uploading

When the XLSX template file for import is uploaded, an "Order" is created, just like when reporting consignment sales from the regular screen.
The consignment sales report is complete once the order creation is successful.

Instructions

The upload of the consignment sales report is performed following these steps.

  1. Downloading the XLSX template file for import
  2. Entering data into the XLSX template file for import
  3. Uploading the XLSX template file for import

Downloading the XLSX template file for import

Moving to the download screen for import files

  1. Click Connected Brands.

  2. Select the target brand.

  3. Catalog Filter
    You can search for catalogs by filtering with keywords.

  4. Catalog for consignment sales: Click Consignment Sales Report.
    *The catalog name may vary depending on the brand's settings.

    You will be redirected to the product list page of the catalog.

  5. Click the Upload Consignment Sales Report button.
    The consignment sales report modal will be displayed.

Filling out the form and downloading

Fill out the form in the Download XLSX Template block.

Language for the XLSX template
The language of the downloaded file is automatically determined based on the "Display language setting" in the Buyer App.

  • JAPANESE: The Japanese template will be downloaded.
  • Other than JAPANESE (ENGLISH, CHINESE, etc.): The English template will be downloaded.
  1. Select the Template Type from the dropdown menu.

    • On-hand based: A mode where you enter the actual inventory on hand and the difference from the theoretical inventory (the quantity currently held on consignment from the brand) is recorded as sales.
    • Sold based: A mode where the number of units sold is recorded directly as sales.
  2. Click the Download button.
    The XLSX template for import corresponding to the template type will be downloaded.

Entering data into the XLSX template file for import

Enter the consignment sales report data referring to the following.

The content of the XLSX template file for import is created based on the consignment inventory at the time of download.

Description of Input Items

  • Column A: Model Number *Required
    Enter the product number subject to the consignment sales report.

  • Column C: SKU Number *Required
    Enter the SKU number subject to the consignment sales report.

  • Column G: On-hand Quantity or Sold Quantity *Required
    Enter data into one of the items depending on the input mode.

    • For On-hand based: Enter the current actual inventory on hand in On-hand Quantity.
    • For Sold based: Enter the quantity sold in Sold Quantity.

  • Column B: Product Name
  • Column D: Barcode
  • Column E: SKU
  • Column F: Theoretical Quantity (the quantity currently held on consignment from the brand)

Uploading the XLSX template file for import

Moving to the upload screen for import files

  1. Click Connected Brands.

  2. Select the target brand.

Filling out the form and uploading

Fill out the form in the Import XLSX block.

  1. Select the Input Mode from the dropdown menu.

    • On-hand based: A mode where you enter the actual inventory on hand and the difference from the theoretical inventory (the quantity currently held on consignment from the brand) is recorded as sales.
    • Sold based: A mode where the number of units sold is recorded directly as sales.

    Please ensure that there are no errors in the content of the Excel file being uploaded and the selection of the input mode.

    • On-hand based: Column G of the uploaded file is On-hand Quantity
    • Sold based: Column G of the uploaded file is Sold Quantity
  2. Click the Select File button and select the file to upload.

  3. Click the Upload button.

    If the process is successful, an order will be created and the consignment sales report will be completed.
    If it fails, an error will be displayed. Please correct the file according to the error details.

Important Notes

Please be careful of incorrect selection of Template Type / Input Mode

The meaning of the numerical values entered is completely different between "On-hand based" and "Sold based."
Always select the same mode during both download and upload.

Selecting the wrong mode will cause unintended sales quantities to be recorded.

Regarding the saving state of the Excel file for import

To prevent import errors or unintended aggregations, always save the file with all rows and columns displayed.
Even if rows are hidden, that data will be added to and reflected in the "Sales Report," so please clear all hidden rows, columns, and filter settings.

Regarding the use of functions and formulas

If you are using calculation formulas (functions) in the quantity input fields, etc., be sure to convert them to "Values" before saving.
If you upload with the calculation formulas intact, the numerical values cannot be imported correctly.

Troubleshooting

I uploaded an XLSX file for import with incorrect content

The sales report is finalized at the point when the upload process is completed and an order is created. Under the specifications of DEXTRE’s consignment sales feature, created orders cannot be modified.

If any corrections are required, please request the brand (consignor) to delete the order and then submit the sales report again.
